VIRTUAL ASSISTANT (Part-Time)

Teamswell is a high-growth nearshore outsourcing company working for US companies. We are currently looking for a Virtual Assistant who will be organized, proactive, and detail-oriented to provide comprehensive administrative, operational, and digital support to executive leadership. will play a key role in optimizing the CEO’s daily operations by managing communications, coordinating schedules, organizing documentation, and supporting marketing and digital initiatives. This position combines executive assistance responsibilities with light marketing coordination, research support, and basic website maintenance.

CORE RESPONSIBILITIES

·       Email Management: Audit and organize the CEO’s inbox to maintain an uncluttered environment. Determine when to file emails, escalate urgent matters, and draft responses on behalf of the CEO.

·       Calendar Management: Coordinate schedules and ensure daily time management is optimized.

·       Document Formatting: Professionally format agreements, contracts, and internal documents to ensure brand consistency and clarity.

·       Data Entry: Perform occasional data entry tasks with high accuracy.

·       Research: Conduct ad-hoc research projects as needed (e.g., industry trends, tool comparisons).

·       Creative Problem Solving: Tackle unique requests, such as converting long-form PDF documents (100+ pages) into accessible audio formats/audiobooks.

·       LinkedIn Management: Execute one professional marketing post per week to maintain brand visibility.

·       Email Marketing: Coordinate one to two blast email marketing pieces per week to engage the client base.

·       Website Maintenance: Perform infrequent updates (monthly or less) to the company website via WordPress.

Requirements

REQUIRED EXPERIENCE & QUALIFICATIONS

·       Education: Degree in Business Administration, Marketing, or a related field.

·       Experience: 1–2 years of experience as a Virtual Assistant or Executive Assistant.

·       Language: Fluency in English (written and verbal) is essential for email management and document formatting.

·       Technical Proficiency: * Experience with WordPress for basic website updates.

·       Proficiency in email marketing systems and LinkedIn for business.

·       Capability to handle file conversions and digital organization tools.

·       Efficiency: A proven track record of completing projects promptly (avoiding delays on tasks that should take days, not months).
