Requirements:

  • Attend site PCG and subcontractor meetings and compile minutes in Procore for PM review and issue
  • Review, issue, and manage DC contracts; input scope of works and updated programmes in Procore; coordinate with lawyers for review
  • Create and manage projects in Procore: jobs, access control for subcontractors/clients/staff, head contracts and budget uploads, purchase orders and contractor variations
  • Document control and regulatory support: ensure up-to-date drawings/specs, SWMS/insurance documentation, defects lists, and DA/CC applications

Job Role: Contract Administrator

Compensation range: $1,200 AUD - $1,500 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be engaged directly by the client as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote, so you'll be able to work from home.

Who The Client Is: Our client is a commercial design and construction firm specialising in end-to-end workspace transformations. They deliver tailored fitout solutions across office, retail, and industrial environments, managing projects from concept design through to construction and handover. Their focus is on creating functional, high-quality spaces that align with client brand identity, operational needs, and project timelines.

Role Overview: We are seeking a responsive and highly organised Contract Administrator with strong experience in the commercial construction industry. This role requires someone who can confidently manage documentation, prioritise tasks effectively, and support project delivery in a fast-paced environment.

Key Responsibilities:

Meetings

  • Attending site PCG meetings (large scale or large value projects only) and compiling minutes on Procore for PM review and approval for issue (determined by Director of Projects). 
  • Attending site subcontractor meetings (large scale or large value projects only) with site manager and PM (determined by Director of Projects).

Estimating / Budgeting / Pricing

  • Scoping, obtaining pricing and costing additional variation works requested by client under $100k, ready for PM review and approval for issue in required template. 
  • Negotiating and obtaining subcontractor/supplier quotes
  • Analysing scope of works and ensuring quotes are correct before purchase orders are let
  • Comparison analysing between multiple trade quotes

Contracts

  • Review and execution of D&C contracts before PM review
  • Reviewing external contracts and issuing to lawyer for review, chasing up the reviews and managing correspondence 
  • Inputting scope of works, designs and updated programmes within contracts

Procore

  • Creating jobs in Procore
  • Managing individual access to Procore including subcontractors, clients and staff
  • Purchase orders
  • Uploading Head Contract (post-PM approval)
  • Contractor variations (post-PM approval)
  • Head contract variations (post-PM approval)
  • Uploading budget sheet following PM approval at project commencement
  • Document control: Ensuring the design team has uploaded up to date architectural drawings, service drawings, specifications, and schedules. CA to upload required documents if project has external designer

Authority Approvals

  • CDC and OC start to finish
  • Assisting with DA and CC applications

Defects

  • Attending defects walkthroughs and assisting site manager in compiling list when required

Site Folder Management

  • Site folder management
  • SWMS and insurance documentation
  • Operations manuals
  • SignOnSite setup

Requirements

  • Proven experience in commercial construction contract administration
  • Strong ability to prioritise tasks and work in a fast-paced environment
  • Highly responsive with excellent attention to detail
  • Strong organisational and communication skills
  • Ability to work independently and manage multiple deadlines

Work Arrangement & Expectations:

This is a remote role that will be set up as an independent contractor engagement.
