About the role:

We are seeking a highly proactive, emotionally intelligent, and deeply trustworthy Executive Assistant to act as the ultimate partner to the agency's owner. This is not a standard, routine administrative role— it is a critical, high-trust position designed to manage the owner’s professional and personal ecosystem, directly minimizing friction and managing operational stress levels.

The ideal candidate will serve as a foundational anchor for both the founder and the broader team, filling in gaps seamlessly across operations, client relations, and personal scheduling. You will be taking over from a deeply valued predecessor who held the role for six years, meaning the position demands someone who thrives on building long-term working relationships, values absolute discretion, and possesses the professional maturity to handle sensitive company and personal data.

What you’ll be doing:

  • Comprehensive Calendar & Schedule Management: Manage the owner's personal and professional calendars, scheduling work appointments, tracking visits, family agendas, and setting up critical updates.

  • Inbox & Communication Triage: Act as the primary gatekeeper for the owner’s email, sorting priorities, addressing urgent client communications, and keeping communication channels running efficiently.

  • Operational & Team Liaison: Assist in routing and assigning tasks to internal technical and creative teammates, ensuring projects keep moving even when the owner is focused elsewhere.

  • Financial & Trust-Based Tasks: Safely manage company and personal credit card transactions, track minor accounting details, and execute sensitive business or personal purchases with absolute integrity.

  • Client & Public Relations Support: Confidently interface directly with US-based clients over email and phone, handling updates and inquiries with exceptional clarity and professionalism.

  • Personal & Family Assistance: Maintain a warm, empathetic, and attentive awareness of the owner’s family schedule and unique requirements, treating personal matters with the same care and seriousness as business operations.

Who are we looking for?

  • 4 to 5+ years of experience in a dedicated Executive Assistant or high-level Operations Support role, specifically supporting US-based CEOs or Founders

  • Foundational experience or clear familiarity with the digital marketing, web development, or technical agency workspace to ensure a fast onboarding ramp.

  • Excellent written and spoken English skills.

  • Proven experience in basic bookkeeping and managing financial transactions for both business and personal expenses.

  • Strong experience working with spreadsheets (Google Sheets / Microsoft Excel) and familiarity with project management platforms (such as Asana, Trello, or Jira).

  • Empathetic, trustworthy, and organized, with a natural ability to anticipate an executive's needs and proactively close administrative gaps.

  • Highly reliable, consistent, and accountable. 

Position: Executive Assistant

Remote Status: Fully Remote

Working Hours: 9 am - 5 pm MT

Holidays: US Federal Holidays

Salary: USD 1200 - USD 1700 per month
