Requirements:

  • Own complex diary management across multiple time zones, scheduling meetings and optimizing the principal's time.
  • Oversee end-to-end travel arrangements, including itineraries, flight bookings, accommodation, and contingency planning.
  • Serve as the professional first point of contact for client communications, maintaining diplomacy, clarity, and brand alignment.
  • Anticipate administrative bottlenecks in a high-output workflow and proactively resolve scheduling conflicts to streamline tasks.

Job description

This is a remote position.

Operating within a high-output, evolving environment, this critical role requires a highly organised and proactive independent contractor to provide premium administrative support for 10 hours per week. The position focuses heavily on optimizing daily operational efficiency through precise diary management, intricate travel logistics, and seamless stakeholder interaction. It is perfectly suited for an autonomous professional who thrives on detail-orientation and executes administrative tasks with exceptional speed and accuracy.


This position will initially require approximately 10 hours per week, which may increase in time.

Key Responsibilities

  • Diary & Schedule Optimization: Take full ownership of complex diary management, scheduling meetings across multiple time zones, and ensuring optimal allocation of the principal's time.

  • Travel & Logistics Coordination: Oversee and execute end-to-end travel arrangements, including detailed itineraries, flight bookings, accommodation, and contingency planning.

  • Stakeholder Communication: Serve as a professional first point of contact for client communications, managing correspondence with high diplomacy, clarity, and brand alignment.

  • Workflow Efficiency: Anticipate administrative bottlenecks within a high-output workflow, proactively resolving scheduling conflicts and streamlining day-to-day administrative tasks.

Requirements

  • Experience: Proven track record as a Personal Assistant, Executive Assistant, or Virtual Assistant operating under an independent contractor model.

Required Software Skills
