  • Handle and submit prior authorization requests as needed

Job Title: Medical Virtual Assistant (Documentation, Billing & Front Desk)

Position Type: Part-time

Work Hours: 6:00 PM – 1:00 AM EDT

Work Days:

  • Tuesday & Thursday – 7 hours
  • Saturday – 6 hours

Salary: $6 – $8 per hour

About the Company

Our client is a chiropractic practice dedicated to providing top-tier care in Rock Hill and Fort Mill, SC. The clinic specializes in family wellness and helps patients achieve optimal health through natural chiropractic adjustments. The team is focused on maintaining efficient operations, accurate medical documentation, and timely billing processes to support high-quality patient care.

Primary Priorities

1. SOAP Note Entry (Main Responsibility)

  • Convert patient notes into proper SOAP note format within the PayDC EHR system
  • Process and enter notes in real time between patient visits
  • Ensure accurate and timely documentation to support immediate billing
  • Maintain organized and accurate patient records

2. Insurance Verification

  • Verify patient insurance eligibility and coverage details
  • Maintain accurate and updated insurance information in the system
  • Process and review EOBs (Explanation of Benefits)

3. Billing & Coding

  • Process billing and claims after SOAP notes are completed
  • Apply billing and coding knowledge to ensure accuracy and reduce claim issues
  • Work efficiently with minimal training and supervision

4. Prior Authorizations

  • Handle and submit prior authorization requests as needed

5. General Front Desk & Administrative Support

  • Answer inbound and outbound phone calls professionally
  • Assist with front desk and patient communication tasks
  • Send letters, forms, and documentation to patients and insurance companies
  • Communicate with attorneys regarding patient-related documentation
  • Provide general administrative support as needed

Requirements

Required Skills and Experience

  • Strong background in medical billing and coding
  • Experience with SOAP note writing and medical documentation
  • Knowledge of healthcare administrative workflows, including insurance verification, prior authorizations, and healthcare billing processes.
  • Ability to accurately convert patient notes into proper SOAP note format
  • Relevant experience in a healthcare or medical administrative role
  • Strong English communication skills, both written and verbal
  • Comfortable handling inbound and outbound phone calls professionally

Preferred Qualifications

  • Experience with chiropractic billing and documentation is a plus
  • Experience using multiple EHR/EMR systems
  • Ability to quickly adapt to new software platforms such as PayDC
  • Experience working with international or US-based companies
  • Strong attention to detail and organizational skills
  • Reliable, self-motivated, and interested in long-term employment

Basic requirements

  • Must be proficient in speaking and writing English very clearly
  • Must have relevant work experience
  • Be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory]
  • Must be available for video meetings with your camera on (when needed)
