Requirements:

  • Lead Conversion and Scheduling: Monitor GoHighLevel (GHL) in real time and respond to inbound leads within 5 minutes during working hours; conduct outbound follow-up calls, texts, and emails; build rapport with prospective patients; collect deposits and secure bookings; maintain accurate CRM records with complete notes and follow-up actions
  • CRM Pipeline Management: Manage and optimize GoHighLevel pipelines, funnels, sequences, and lead stages; audit pipelines regularly to ensure opportunities are not missed; identify and report automation issues or campaign performance shifts; coordinate with marketing and ads teams
  • Reactivation and Social Media Engagement: Re-engage inactive leads via structured monthly follow-up campaigns; adjust communication style based on lead behavior; reintroduce qualified reactivated leads into active conversion sequences; support patient retention through ongoing outreach initiatives
  • Social Media Communication and Online Reputation: Monitor Instagram and Facebook messages and inquiries; convert social media interest into qualified leads and bookings; escalate sensitive or negative interactions; execute Google review outreach campaigns to strengthen online reputation

ABOUT THE ROLE

The Navigate Patient Growth Coordinator is one of the most important drivers of Navigate Health & Wellness’s growth, serving as the first human connection prospective patients experience when reaching out for care. This role is responsible for converting inbound leads into confirmed, deposited new patient appointments with speed, warmth, and genuine professionalism while also supporting the company’s broader front-end growth through reactivation, social media communication, pipeline management, and direct operational support. ROLE RESPONSIBILITIES


1. Lead Conversion & Patient Scheduling

  • Monitor GoHighLevel (GHL) in real time and respond to all inbound leads within 5 minutes during working hours

  • Conduct outbound follow-up calls, texts, and emails to nurture leads

  • Build rapport with prospective patients and guide them toward scheduling

  • Collect deposits, secure bookings, and provide all required pre-visit details

  • Maintain accurate CRM records with complete notes, tags, and follow-up actions after every interaction

2. CRM & Pipeline Management

  • Manage and optimize GHL pipelines, funnels, sequences, and lead stages

  • Audit lead pipelines regularly to ensure no opportunities are missed

  • Identify and report automation issues, system errors, or campaign performance shifts

  • Coordinate with marketing and ads teams to support lead flow optimization


3. Reactivation & Social Media Engagement

  • Re-engage inactive and cold leads through structured monthly follow-up campaigns

  • Adjust communication style based on lead behavior and readiness

  • Reintroduce qualified reactivated leads into active conversion sequences

  • Support patient retention through ongoing outreach initiatives


4. Social Media & Online Communication Support

  • Monitor Instagram and Facebook messages, comments, and inquiries during working hours

  • Convert social media interest into qualified leads and booking opportunities

  • Escalate sensitive or negative interactions appropriately

  • Execute Google review outreach campaigns to strengthen online reputation and community trust

5. Reporting, Leadership Support & Operational Growth

  • Submit daily, weekly, and KPI performance reports to leadership

  • Respond promptly to direct requests from Dr. Kace and support additional business growth initiatives

  • Assist with research, outreach, partnerships, and strategic projects as assigned


ROLE QUALIFICATIONS

REQUIRED QUALIFICATIONS

  • At least 3+ years of overall formal work experience.

  • Proven experience in sales, lead generation, appointment setting, or customer service

  • Strong verbal communication and objection-handling skills

  • Ability to manage high-volume follow-up processes

  • Experience using CRM systems

  • Excellent organizational and time management skills

  • Comfortable working with KPIs and performance metrics

  • Ability to work independently in a remote environment

  • Must have own webcam, microphone, and computer (relevant software and subscriptions provided).

  • Excellent English verbal and written language proficiency (C2 in CEFR Scale).

  • Access to a quiet work area at home with reliable internet (100 Mbps or more).


PREFERRED ("NICE-TO-HAVE") QUALIFICATIONS

  • Experience in healthcare, chiropractic, wellness, or medical sales

  • Familiarity with Facebook, Instagram, and social media lead management

  • Previous remote SDR or patient coordinator experience

  • Knowledge of sales reporting and pipeline optimization

  • Experience with deposit collection or front-end sales processes

 


ROLE SPECIFICATIONS

 

  • Base Salary: Q9,000 base salary + unlimited commissions

  • Role type: Full-time.

  • Location: Guatemala (Remote - Work from home).

  • Schedule: Monday to Friday 9:00 - 6:00 PM EST and Saturday 8:00 - 12:00 PM EST (This is subject to changes due to daylight saving time)


RECRUITING PROCESS

 

  • Application / Screening: When you apply for this position, we will ask you a short questionnaire to get to know you a little bit better and ask you for some additional inputs to see if you qualify for the position. In addition, we will ask you to complete a short psychometric evaluation and a short English proficiency assessment. The idea is to explore if this is a good fit before moving forward.

  • Skills Assessment: You will be asked to complete a few exercises and/or projects designed to recreate the work tasks that you will be responsible for if you are given the role. This helps us gauge your skill level as well as give you a better idea of the required work.

  • Skills Assessment Interview: This is a 60 min - 90 min conversation where we further test your skills, learn about your previous working experiences, and evaluate culture fit to the role and company.

  • Hiring Manager Final Interview: This is a 30 min - 60 min conversation with the position’s Hiring Manager (and potentially a few company team members) to get to know you better and to set the expectations and vision for the role.

The entire process usually takes anywhere between 2-6 weeks to complete depending on the seniority of the position.
