Role Overview
As a US Mortgage Third-Party Vendor Coordinator, you’ll manage and track all third-party services required throughout the mortgage process, including appraisals, title work, flood certifications, insurance, and vendor coordination.
You’ll be responsible for ensuring orders are placed quickly, tracked accurately, and proactively followed up before delays impact loan progress. This role requires strong organization, communication, and follow-through across multiple systems and stakeholders.
You’ll work closely with vendors, loan teams, and internal stakeholders to help keep files progressing efficiently toward underwriting and closing.
Key Responsibilities:
Order appraisals, title work, flood certifications, insurance, and related services.
Coordinate with vendors and third-party service providers.
Track third-party orders and timelines accurately.
Monitor ETAs and proactively follow up on delays.
Maintain organized records and update systems in real time.
Facilitate communication between vendors, loan teams, and stakeholders.
Support appraisal scheduling and property access coordination.
Escalate issues, delays, or risks when necessary.
Ensure files continue progressing toward underwriting and closing.
Manage multiple active orders and priorities simultaneously.
Requirements
Required Qualifications (Must-Have):
2+ years of experience in operations coordination, administration, mortgage support, vendor coordination, logistics, or deadline-driven workflows.
Strong written English communication skills.
Experience coordinating with external vendors or service providers.
Strong organizational and follow-up skills.
Ability to manage multiple concurrent tasks and deadlines.
Comfortable working across multiple systems and platforms.
Stable internet connection and remote work setup.
Availability during US Eastern business hours.
Nice-to-Have:
Mortgage processing or mortgage operations experience.
Experience with appraisal coordination.
Familiarity with Loan Origination Systems (LOS).
Exposure to title coordination or compliance-driven environments.
Understanding of TRID and loan disclosures.
Knowledge of FHA, VA, and conventional appraisal requirements.
Experience with Airtable or workflow tracking tools.
