About the Role

We’re looking for a highly analytical and solutions-oriented Capacity Planner to support clinic operations across our national network. This role plays a critical part in optimizing clinician schedules, clinic utilization, and patient access to care.

Working closely with Operations, Clinic Leaders, and HR, the Capacity Planner will use forecasting, scheduling insights, and workforce planning strategies to align patient demand with clinician capacity and resource deployment.

This is an ideal opportunity for someone who enjoys turning data into actionable insights, improving operational efficiency, and influencing business decisions in a fast-paced healthcare environment.

This is a fully remote role, with preference given to candidates located in the Greater Toronto Area (GTA) or Kitchener-Waterloo region.

What You’ll Do

  • Analyze clinic capacity including clinician schedules, room availability, and service mix across multiple locations
  • Optimize appointment templates and scheduling structures to improve utilization and reduce appointment gaps
  • Build and maintain capacity planning models to align patient demand with clinician availability
  • Forecast workforce and staffing needs using historical trends, referrals, and operational data
  • Conduct scenario planning to assess impacts of staffing changes, clinic hours, and demand fluctuations
  • Monitor and report on key operational metrics including utilization, appointment fill rates, wait times, and clinician productivity
  • Extract, analyze, and interpret data from scheduling systems, ERP/EMR platforms, and reporting tools
  • Identify operational trends, inefficiencies, and opportunities for process improvement
  • Develop dashboards and reporting tools using Excel, Power BI, or similar platforms
  • Partner closely with Operations and Clinic Managers to implement scheduling and workforce adjustments
  • Collaborate with HR on workforce planning, hiring needs, and resource deployment strategies
  • Support continuous improvement initiatives related to scheduling processes, systems, and data quality
  • Other duties as required

 

What You Bring

  • Bachelor’s degree in Engineering, Operations Management, Supply Chain Management, Business Analytics, or a related field
  • 2–5 years of experience in Capacity Planning, Workforce Planning, Supply Planning, Demand Planning, or a similar analytical role
  • Strong analytical and problem-solving skills with the ability to translate data into actionable business insights
  • Advanced Excel skills with experience in data modeling and reporting
  • Experience working with scheduling systems, ERP/EMR platforms, or workforce planning tools
  • Experience with Power BI, Tableau, or similar BI/reporting tools is considered an asset
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage competing priorities and work effectively in a fast-paced environment
  • Effective communication and stakeholder management skills
  • Confidence working cross-functionally with operational and business leaders

 

What You’ll Get

  • Competitive base salary: $60,000 – $91,000 annually (based on experience, qualifications, and internal equity)
