Requirements:

  • Verify, input, and double-check patient insurance eligibility and benefits; generate and submit authorizations and prior authorizations; track benefits and authorization status; communicate with insurance providers; handle RFIs; maintain accurate EMR records
  • Provide administrative and operational support: monitor incoming faxes, upload documentation to patient records, maintain and update patient records and insurance details, provide daily communication and reporting to the internal team, assist with data tracking
  • Provide light billing/financial support: follow up on unpaid claims, post payments to patient accounts, assist with basic bookkeeping tasks such as matching records with QuickBooks and EMR
  • Coordinate patient referrals: manage referrals from other providers, respond to patient inquiries via phone or email, support communication with patients and internal staff, ensure patient privacy

This is a remote position.

Virtual Rockstar is hiring a full-time Medical Virtual Assistant (Insurance & Administrative Support Specialist) on behalf of a long-standing outpatient physical therapy practice.

This role is focused on insurance verification, authorizations, and administrative coordination, supporting a busy clinic with approximately 150 active cases. You will play a key role in ensuring accuracy in insurance processes, maintaining organized records, and supporting day-to-day clinic operations.

This is ideal for someone who is highly detail-oriented, organized, and dependable, with strong experience in insurance workflows and administrative support within a healthcare setting.

Key Responsibilities

Insurance Verification & Authorizations (Primary Focus)

  • Verify, input, and double-check patient insurance eligibility and benefits

  • Generate and submit authorizations and prior authorizations

  • Track insurance benefits, eligibility, and authorization status

  • Communicate with insurance providers to clarify coverage and resolve issues

  • Handle medical RFIs (requests for information)

  • Maintain accurate and up-to-date records in the EMR system

Administrative & Operational Support

  • Monitor incoming faxes and upload documentation to patient records

  • Maintain and update patient records and insurance details

  • Provide daily communication and reporting to the internal team

  • Assist with data tracking and ensuring all information is accurate and accessible


Billing & Financial Support (Light)

  • Follow up on unpaid claims when needed

  • Post payments to patient accounts

  • Assist with basic bookkeeping tasks such as matching records with QuickBooks and EMR

Patient & Referral Coordination

  • Manage referrals from other healthcare providers

Requirements
