About the Role

The Senior Systems Administrator plays a critical role in ensuring the reliability, integrity, and strategic evolution of the organization’s finance technology infrastructure. This position serves as the primary subject matter expert for NetSuite ERP. We are starting the implementation process across our Federation, and you will lead strategy building and execution to maximize the full function and potential of NetSuite. This new role bridges Finance, Operations, Development, and Information Technology to support a diverse, geographically distributed workforce.

The ideal candidate brings a rare combination of deep technical expertise, financial acumen, and the interpersonal agility to collaborate across departments and site offices. They will lead systems projects from conception to completion, guide end-users through change, and ensure that our finance technology platforms scale alongside organizational growth.

  • Reports to: Chief Financial Officer

  • Collaborates closely with Chief Operations Officer and Chief Legal Officer’s team

    • Conduct regular system audits to ensure data integrity, tax compliance, and audit readiness

    • Monitor system performance, troubleshoot incidents, and coordinate with NetSuite support and third-party vendors

    • Support the use of AI‑assisted analytics, automation, and document processing (e.g., OCR, classification, and predictive insights) within NetSuite and connected platforms

    • Assist with audits by preparing system-generated documentation, audit trails, and financial data exports

    • Ensure compliance with GAAP, nonprofit accounting standards (ASC 958), and funder reporting requirements

  • Project Management & Systems Implementation

    • Partnering with the Information Technology team, lead end-to-end technology projects including new module rollouts, system migrations, integrations, financial data warehouse and reporting solutions, and process re-engineering initiatives

    • Develop project charters, timelines, resource plans, risk registers, and stakeholder communication strategies

    • Coordinate systems support and training initiatives across all Federation offices, including occasional site visits

    • Translate complex technical concepts into accessible language for non-technical staff and leadership

    • Facilitate needs assessments, gather business requirements, and design technology solutions that serve diverse user communities

    • Coordinate training, change management, and post‑go‑live support for Site‑based users across time zones and geographies

    • Champion a culture of early-adoption and data-driven decision making throughout the organization

  • Systems Administration & Infrastructure

    • Maintain documentation for system configurations, integrations, SOPs, and disaster recovery procedures

    • Working with the Information Technology team, develop and deliver end-user training programs, help documentation, and onboarding materials

    • Evaluate and recommend emerging technologies that advance the organization’s mission and operational efficiency

    • Evaluate, pilot, and implement AI‑enabled tools and features to enhance finance operations, including transaction processing, reconciliations, anomaly detection, forecasting, and reporting

    • Partner with Finance, IT, and Operations to integrate responsible AI solutions into core systems workflows, improving efficiency, accuracy, and decision‑making

    • Champion adoption of scalable, future‑ready technologies—including AI‑driven solutions—to better support the Federation and growing organizational complexity

    • Model and promote a value-driven, mission-centered approach to systems management—one that sees technology not as a back-office function but as a strategic enabler of impact across the Federation
