This role will lead a high performing team of leaders, individual contributors, and offshore teams to obtain department targets in the areas of efficiency, effectiveness, customer satisfaction and engaged associates. Focus workload is to oversee trade and non-trade payables processes to ensure timely payment to vendors, supporting day to day business operations. The Manager will establish and maintain partnerships with an offshore management partner, ensuring coordination and communication with offshore teams. Identify process improvement opportunities, while optimizing centralized work, and measuring the delivery of those services in a consistent, objective way.

The work for this position is completely remote anywhere in the United States except Hawaii or United States Territories.

ESSENTIAL DUTIES AND RESPONSIBILITIES  

Workstream Responsibilities – 45%

  • Manage daily operations, including end to end payment process across multiple ERP systems, financial operational reports, reconciliations, resolution of invoice discrepancies, and accurate processing of debit memos, totaling $37 billion.

  • Develop and maintain strong business partnerships internally and externally through delivery of best-in-class performance

  • Build and foster a collaborative network with stakeholders to strengthen alignment, share best practices, and drive communication.

  • Provide input and use standard key performance indicators to ensure the teams are consistently driving towards excellence and meeting the needs of the functions and associates supported.

  • Perform capacity planning and decipher resource needs to meet demand.

  • Ensure quality and ongoing integrity of key processes and procedures.

  • Resolves complex escalated concerns and inquires and communicates resolutions effectively to key stakeholders.

  • Demonstrate agility and cross-train across various areas within the department, ensuring versatility and adaptability to changing demands.

  • Looks to standardization, simplification, and optimization as a way of daily working

  • Collaborate with third-party providers to facilitate process reviews, address inquiries, conduct training sessions, and offer guidance and direction as needed.

  • Effectively communicate and lead across all levels within the organization to influence Accounts Payable strategy

  • Displayed ability to lead through influence and drive optimization synergies across the entire Accounts Payable team

People Leadership – 30%

  • Recruit, onboard, and review training of new associates.

  • Build a diverse, higher performing team who supports accounts payable business partners within the organization and external vendors

  • Provide regular feedback to associates and develop top talent while embracing our core values.

  • Provide coaching, best practice sharing, and identify developmental needs on an individual basis. 

  • Ensure expectations both quantitative and qualitative are set and reviewed on an on-going basis.  Participate in regular performance review discussions.

  • Foster an environment of accountability and celebrate successes. Ensure associates are set up for success in all aspects of their role including their development for future roles.

  • Build trust and confidence throughout organization by fostering partnerships displayed through strong operational results

  • Ability to manage a larger team with varying skill levels from people managers to entry level individual contributors.

  • Ensure established training protocols are delivered for cross training support work and standardized processes for absorbing new work into the shared services model.

  • Motivate team and set aspirational goals through departmental leadership, meetings, and one on one communications.

  • Ensures compliance with legal and company policies regarding hiring, performance evaluation, termination, and related leadership functions.

Continuous Improvement / Project Delivery – 20%

  • Standardize business processes utilizing automated tools where appropriate as well as fully understand and leverage this functionality to improve workflow efficiency and quality measures.

  • Ensure adoption and review compliance to SOPs (Standard Operating Procedures). Execute best-in-class methodologies such as quality performance, training initiatives and associate scheduling leveraged by driving operational efficiencies to improve workstream activity.

  • Execute defined continuous improvement strategy to advance the organization to be influential business partners

  • Deliver functional projects as assigned, focused on technology and processes relevant to our established strategic roadmap. Continuously seek opportunities for synergy, improvement, simplification and automation of existing processes, technology, reporting, etc.

  • Focus on process improvement through technology; think strategically about new initiatives, participate in researching modern technology selections.

  • Ensure best practices are identified for both process and technology through benchmarking across the team. Identify opportunities for improvement of existing functionality.

  • Research and analyze data to draw conclusions, identify trends and uncover potential issues. Use this knowledge to develop and bring forward recommendations.

  • Lead frontline management to be aligned with best-in-class methodologies such as quality performance, training initiatives and associate scheduling leveraged by driving operational efficiencies to improve workstream activity.

Personal Development – 5%

  • Updates to personal Individual Development Plan (IDP) and prepare for check-ins with your leader.

  • Engage in formal US Foods performance management process.

  • Strive to learn and benchmark against industry trends and be engaged in industry peer groups.

  • Pursue other personal learning and development initiatives.

SUPERVISION:

  • Manages a team of Accounts Payable professionals: leaders (~2 direct reports), individual contributors (~8 direct reports), ~40 managed services resources.

RELATIONSHIPS

  • Internal: Collaborate closely across a wide array of individuals and cross-functional teams across corporate including Category Management, Replenishment, Pricing, Supply Chain, Accounting and Finance, IT, Local Markets, Shared Business Services and Managed Services.

  • External: Maintain and manage relationships with US Foods vendors and Technology Partners

WORK ENVIRONMENT

  • Remote: This role is fully remote, and the associate is expected to perform assigned responsibilities from a home-based environment.

MINIMUM QUALIFICATIONS

  • Five (5) years of management and leadership experience including evidence of developing a high performing team

  • Seven (7) years of related experience in Accounts Payable or related finance roles required.

  • Demonstrated ability influencing multiple stakeholders at various levels in the organization

  • Professional leadership skills, able to lead under pressure

  • Ability to display technical and analytical skills to solve challenges through analysis of data

  • Achieves results through collaborating effectively with others and team members.

  • Strong communication skills to effectively convey relevant information and ideas with confidence and professionalism

  • Ability to develop a high performing team by setting high standards and inspiring others

  • Ability to proactively plan and remove barriers, convey urgency, and act with speed to make decisions to focus on delivering results in a collaborative manner

  • Ability to understand connection across complex systems and remove barriers of disparate systems to accomplish results

  • Intermediate computer skills including Microsoft Word, Outlook, Excel and PowerPoint required

  • Ability to learn proprietary US Foods systems (e.g. PeopleSoft, Remote Expense)

  • Agility to respond to quickly learn new procedures, processes, product information

  • Ability to work weekends or holidays if business needs dictate

  • May require occasional travel (<5%)  

EDUCATION

  • Bachelor’s degree, or a combination of education and experience equivalent to a Bachelor’s degree

PREFERRED QUALIFICATIONS

  • In-depth knowledge of customer and/or vendor operations leadership principles and practices with food service distribution and contact center experience preferred

  • Project management experience preferred.

Compensation depends on relevant experience and/or education, specific skills, function, geographic location, and other factors as applicable by law (for example: state or local minimum wage thresholds).  The expected base rate for this role is between

$75,000 - $125,000
