Job description

This is a remote position.

Executive Assistant

Join a fast-paced, technology-driven company where you’ll work closely with leadership to bring structure and clarity to daily operations. In this role, you’ll act as a key organizational force, turning ideas, messages, and moving priorities into a clear system that drives execution and results.

What You'll Do:

  • Capture and organize information from emails, WhatsApp, voice notes, and meetings, translating it into structured tasks, calendar events, and clear priorities into a centralized system.
  • Own and maintain task and project tracking by keeping the system current, documenting key details (history, decisions, next steps), and providing clear, regular summaries of progress, priorities, and outstanding items.
  • Work directly with leadership to review priorities, align on next steps, and ensure execution stays on track through proactive follow-ups.
  • Manage scheduling and coordination, including meetings, timelines, shifting priorities, and maintaining key business and personal reminders.
  • Assist with email organization and flag important communications.
  • Continuously refine and improve the organizational system (Trello or similar tools).

  • Detail-Oriented: Captures full context, including history, notes, and next steps, not just surface-level reminders.
  • Proactive Communicator: Stays on top of schedules and follow-ups, ensuring nothing slips through the cracks.
  • Ownership & Initiative: Capable of taking responsibility for tracking tasks and following up with managers independently, without needing constant direction.
  • Adaptable: Comfortable adjusting to evolving workflows and a leadership style that may change over time.
  • Professional Demeanor: Works well with others, communicates clearly, and maintains a calm, respectful approach.
  • Tech-Comfortable: Confident using task managers, calendars, messaging tools, and project systems.
  • Growth Potential: Capable of taking on more responsibility over time, including helping coordinate projects or teams.
  • Experience: General work experience is required.
