Position: Executive Assistant
Working Hours: US Hours (9am-5pm EST)
Employment Type: Full-Time, Remote, South Africa
Salary: Paid in South African Rand (ZAR)
Overview:
We are seeking a highly professional, confident, and creative Executive Assistant to support senior leadership. This role requires someone who is comfortable engaging with business owners and executives, participating in meetings, and representing the company with professionalism and strong interpersonal skills.
The ideal candidate is both administratively strong and creatively inclined, with the ability to manage client communication, create content, and support day-to-day business operations.
Responsibilities:
Executive & Administrative Support
- Provide high-level administrative support to senior leadership
- Join meetings, take notes, and actively participate where required
- Manage calendars, scheduling, and coordination of meetings
- Prepare documents, reports, and presentations
Client Communication & Relationship Management
- Communicate confidently with clients, including business owners and executives
- Follow up with clients to ensure timely responses and maintain strong relationships
- Act as a professional point of contact on behalf of the executive
Creative & Content Support
- Create and manage LinkedIn posts aligned with the company’s brand and messaging
- Design basic mockups and assist with creative tasks as needed
- Support ad hoc marketing or content creation initiatives
Operations & Systems Management
- Work across various tools and platforms to support business operations, including:
- CRM systems
- Billing and invoicing software
- Excel for reporting and data tracking
- QuickBooks
- Quoting tools
- Shopify
Requirements
- Proven experience as an Executive Assistant or in a similar role
- Strong communication skills with the ability to engage confidently with senior stakeholders
- Professional, well-spoken, and personable demeanor
- Creative mindset with experience in content creation (LinkedIn posts, basic design/mockups)
- Proficiency in tools such as CRM systems, Excel, QuickBooks, quoting tools, and Shopify
- Highly organized with strong attention to detail
- Ability to multitask and manage competing priorities
