Fully Remote (Work from Home) | 9 AM – 5 PM PT
The Executive Assistant will support senior leadership by managing calendars, handling communications, coordinating logistics, and ensuring administrative operations run smoothly. This role requires a proactive, highly organized professional who can manage multiple priorities, maintain accuracy across tasks, and operate effectively in a dynamic environment.
Calendar & Email Management
Manage the executive’s calendar, schedule meetings, and organize daily priorities
Draft and respond to emails in a timely and professional manner
Administrative Support
Provide general administrative support including data entry, expense management, and filing
Manage logistics such as travel arrangements, meeting coordination, and office operations
Communication Management
Ensure smooth communication between the executive and internal or external stakeholders
Prepare documents, reports, and presentations as needed
Data Tasks & Reporting
Organize, track, and maintain accurate data records
Assist in preparing reports and maintaining structured data systems
Logistics Coordination
Coordinate travel, events, and business-related logistics
Ensure all arrangements run smoothly and efficiently
Cross-Departmental Support
Support team members across departments as needed
Handle requests promptly and professionally
Experience
2+ years of experience in an executive assistant or administrative support role
Experience working in fast-paced environments
Skills
Excellent written and verbal communication skills in English, with the ability to draft professional correspondence
Strong organizational skills, with the ability to manage complex calendars and multiple priorities
Proficiency in Google Suite, Microsoft Office, and common tools such as Zoom and Slack
Familiarity with project management software is a plus
Strong attention to detail, ensuring accuracy and completeness in all tasks
Problem-solving mindset with the ability to proactively address issues and take initiative
The executive’s calendar is consistently organized and optimized with minimal scheduling conflicts
Communications are high-quality, error-free, and delivered promptly
Administrative tasks are completed efficiently with minimal follow-up required
Data and records are accurate, organized, and easily accessible
Logistics and coordination are executed smoothly without disruptions
