  • Manage stakeholder communication by providing updates, proactively flagging risks and bottlenecks, and running check-ins and progress reviews to ensure alignment
  • Identify inefficiencies and design scalable, repeatable workflows; standardize documentation, templates, and procedures to improve visibility and execution speed

Scope of the role:

We’re hiring a highly organized, execution-driven Project Manager to take full ownership of planning, coordination, and delivery across a large, fast-moving portfolio of 30+ active projects. This is not a light coordination role—it’s for someone who thrives in complexity, maintains order under pressure, and can enforce structure across multiple teams and stakeholders.

ClickUp is the backbone of operations. If you’re not already fluent in ClickUp and using it daily to manage real workloads, this role will overwhelm you.

Responsibilities:

1. Project Planning & Delivery

  • Own end-to-end execution across 30+ concurrent projects spanning operations, marketing, and client-facing initiatives
  • Translate high-level goals into clear tasks, milestones, timelines, and dependencies inside ClickUp
  • Keep projects moving forward—on time, within scope, and aligned with business priorities
  • Maintain accurate documentation, statuses, and delivery visibility at all times

2. ClickUp Ownership (Non-Negotiable)

  • Act as the single owner of ClickUp as the central project management system
  • Build, maintain, and optimize spaces, folders, lists, dashboards, automations, and workflows
  • Enforce task hygiene: clear owners, due dates, statuses, and priority standards
  • Continuously improve Click-Up structure as volume and complexity scale

3. Communication & Stakeholder Management

  • Serve as the primary point of contact for project updates, timelines, and delivery status
  • Proactively identify and flag risks, bottlenecks, and capacity constraints—before they become problems
  • Run check-ins, standups, and progress reviews to keep teams accountable and aligned
  • Communicate clearly, concisely, and without hand-holding

4. Process Improvement & Scale

  • Identify inefficiencies and design repeatable, scalable workflows
  • Standardize documentation, templates, and operating procedures
  • Improve visibility, accountability, and execution speed across all projects
  • Ensure delivery quality stays high as workload increases



Qualifications:

  • 3+ years of experience as a Project Manager in a fast-paced environment
  • Proven track record in managing a high volume of concurrent projects
  • Strong, hands-on ClickUp experience (required, not optional)
  • Exceptional organization, prioritization, and time-management skills
  • Clear written and verbal communication
  • Ability to work independently, manage ambiguity, and enforce structure

Nice to have:

  • Experience in agencies, professional services, or multi-client environments
  • Familiarity with Agile, Scrum, or other PM frameworks
  • Experience working with remote or distributed teams
