About the Role:

We are a staffing agency recruiting on behalf of a growing home healthcare company seeking a detail-oriented and proactive Healthcare Virtual Assistant. This role is focused on supporting administrative operations, ensuring compliance, and maintaining accurate patient and staff documentation.

This position is ideal for someone who takes initiative, stays organized, and is comfortable working independently in a fast-paced healthcare environment.


Key Responsibilities:

  • Conduct regular audits of patient and staff files to ensure all required documentation is complete and up to date
  • Maintain and update tracking systems (e.g., Google Sheets) for patient records, insurance documents, IDs, and care plans
  • Identify missing or incomplete documentation and communicate clearly with the internal team for follow-up
  • Monitor healthcare systems for compliance-related issues and flag discrepancies
  • Support overall administrative organization and documentation processes
  • Provide regular updates on task progress without requiring follow-up
  • Ensure all work is completed in compliance with HIPAA regulations

Required Qualifications:

  • Prior experience in a healthcare administrative or virtual assistant role
  • Strong understanding of HIPAA compliance and patient data privacy
  • High attention to detail, especially when handling documentation and records
  • Proficiency in Google Sheets / Excel and general administrative tools
  • Strong organizational and time management skills
  • Ability to work independently and proactively manage tasks
  • Excellent written communication skills

Preferred Qualifications:

  • Experience working with home healthcare agencies or similar healthcare environments
  • Familiarity with healthcare management platforms such as HHA ExchangeAvaility, or CareBridge
  • Experience with compliance tracking or audit-related tasks
  • Prior remote work experience
