Job description

About the Role

We’re hiring a highly organised, detail-driven Project Coordinator/ Executive Assistant to work
directly with the founder of a fast-growing AI consultancy.

This is a hybrid role combining project management, operations support, and light
QA/testing. You’ll play a key role in keeping client projects on track, coordinating with global
teams, and ensuring everything runs smoothly behind the scenes.

What You’ll Be Doing

Project Management & Coordination (Core Focus)
Plan, organise, and track multiple client projects end-to-end
Coordinate with engineers, vendors, and stakeholders across different time zones
Build and manage project timelines, tasks, and deliverables
Follow up consistently to ensure deadlines are met
Suggest and implement project management tools and workflows (e.g. Monday.com,
Asana)

Operations & Administrative Support
Assist with contracts, invoicing, and general business operations
Support day-to-day organisational tasks for the founder
Help streamline internal processes and improve efficiency

QA Testing & Delivery Support
Test internal tools and client deliverables using clear guidelines
Identify bugs, issues, or inconsistencies before delivery
Ensure a high standard of quality across all outputs

Client & Vendor Communication
Join client calls and support ongoing communication
Manage external vendors and ensure accountability
Act as a reliable point of contact across projects

What We’re Looking For
Strong project coordination or project management experience
Extremely detail-oriented and organised
Confident communicator (written & verbal)
Comfortable working in a fast-paced, startup-style environment
Tech-savvy with the ability to learn new tools quickly
Proactive mindset — not afraid to ask questions or suggest improvements
Ability to manage multiple priorities without dropping the ball

Nice to Have
Experience with tools like Slack, Monday.com, Asana, or similar
Exposure to AI tools (e.g. Claude, ChatGPT)
Previous experience in agencies, tech, or consulting environments
Experience working with remote or international teams
