  • Triage the inbox: Read, sort, and organize emails daily; delete spam, archive noise, and draft quick replies for routine questions
  • Handle remote admin tasks: Organize digital files, update spreadsheets, manage Google Drive, book travel with itineraries, and prepare simple reports or decks
  • Coordinate the team: Join leadership Zoom calls for clear notes, circulate action items, and follow up on Slack to ensure tasks are completed

We need an Executive Virtual Assistant who can keep our remote operations running flawlessly so our leadership team can focus on growth.

Our executives are moving fast, managing millions in ad spend, and running a massive production engine. They cannot afford to get bogged down in scheduling conflicts, disorganized inboxes, or missing files.

As our Executive Virtual Assistant, you are the remote backbone of our leadership team. You will take over the day-to-day administrative heavy lifting. By keeping the calendar clear, the inbox organized, and the details perfectly managed, you give our leaders the time they need to scale the business.

What You’ll Do

1. Own the Calendar

  • Schedule meetings, calls, and interviews across different time zones without errors.

  • Make sure executives know exactly who they are meeting with and provide them with any necessary links or documents beforehand.

  • Protect their time by preventing double-bookings and blocking out time for them to focus on deep work.

2. Triage the Inbox

  • Read, sort, and organize executive emails daily.

  • Delete spam, archive the noise, and flag the urgent messages that need immediate attention.

  • Draft quick, professional replies to routine questions on behalf of the executives.

3. Handle Remote Admin Tasks

  • Organize digital files, update spreadsheets, and ensure our Google Drive is easy to navigate.

  • Book flights, hotels, and create clear travel itineraries for the leadership team.

  • Handle basic data entry and help prepare simple reports or presentation decks before big meetings.

4. Coordinate the Team

  • Join leadership Zoom calls to take clear, accurate notes.

  • Send out the list of action items after the meeting and follow up with team members on Slack to make sure tasks actually get done.

How You’ll Be Measured (KPIs)

  • Zero Errors: No missed meetings, wrong links, or double-booked calendar slots.

  • Inbox Zero: Keeping the executive's primary inbox organized and free of clutter daily.

  • Response Time: How quickly you handle urgent requests and messages during working hours.

  • Task Follow-Through: Ensuring that meeting notes are sent out quickly and team reminders are consistently tracked.

Who You Are

1. The Experienced Operator

  • At least 3 years of experience working strictly as a Virtual Assistant, Executive Assistant, or remote Admin Support for busy founders or executives.

  • You know how to work independently. You don't need someone looking over your shoulder to get the job done.

2. Highly Organized & Tech-Savvy

  • You are an expert in tools like Google Workspace (Gmail, Calendar, Drive, Sheets), Slack, and Zoom.

  • Your attention to detail is flawless. You double-check every time zone and every link before you hit send.

3. A Clear Communicator

  • You have excellent written and spoken English. You know how to write a polite but firm email to decline a meeting.

  • You are proactive. If you see a problem coming, you fix it before the executive even knows about it.
