Executive Administrative Assistant / Executive Assistant
Location: Remote (Candidates must be based in Central Florida or Big Sky, Montana)
Travel: 10–20%
Compensation starting at: $90,000
Contract: 3–6 Month Contract | Intent to Convert to Permanent
Reports To: Chief Executive Officer

We are seeking an experienced and highly organized Executive Administrative Assistant / Executive Assistant to provide exceptional support to a confidential CEO client. This role is ideal for someone who thrives in a fast-paced environment, maintains strict confidentiality, and has a proven ability to manage multiple priorities with precision and professionalism.

The ideal candidate will have strong communication and organizational skills, prior experience supporting senior executives, and the ability to operate with discretion and independence. Experience supporting startup environments is highly valued, though not required.

This role is remote but requires candidates to be located in Central Florida or Big Sky, Montana and available for occasional travel (10–20%) for meetings, events, and executive engagements.

As the Executive Administrative Assistant, you will oversee complex calendar management, travel coordination, correspondence, and project support while serving as a trusted liaison between the executive and internal/external stakeholders.


Key Responsibilities

  • Manage the CEO's complex calendar, travel arrangements, and daily priorities across time zones.

  • Coordinate logistics for meetings, events, and corporate engagements, ensuring all details are executed flawlessly.

  • Draft, proofread, and manage executive correspondence, presentations, and documents with accuracy and professionalism.

  • Maintain strict confidentiality of sensitive business and personal matters.

  • Serve as a point of contact between the CEO and internal/external partners.

  • Anticipate executive needs and proactively resolve issues in a fast-moving environment.

  • Support special projects and assist with administrative initiatives as assigned.


Qualifications

  • 5+ years of experience as an Executive Assistant or Executive Administrative Assistant supporting C-level leadership.

  • Strong communication, organizational, and time management skills with exceptional attention to detail.

  • Demonstrated ability to handle confidential information with discretion and professionalism.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Highly adaptable and comfortable working in a fast-paced and evolving environment.

  • Flexible availability for occasional evening or weekend support when needed.

  • Startup company experience is a plus but not required.

  • Preferred experience in real estate, corporate, or professional services environments.

  • Familiarity with tools such as TimeTree, CRM systems, or project management software is a plus.


Contract Details

  • Duration: 3–6 month contract with intent to convert to permanent

  • Travel: Approximately 10–20% (travel expenses covered)
