We are seeking a Virtual Assistant who is operations-focused, highly organized, and experienced in supporting two leaders with different working styles. This person must be confident managing communication across distinct leadership styles while maintaining structure, clarity, and follow-through.

This role is critical to owning the day-to-day underwriting workflow and ensuring clients move through the insurance process smoothly and on time. You will serve as the operational point person between carriers, clients, and the internal team, with the goal of growing into greater ownership of insurance operations as the company expands.

Some of your responsibilities will include:

  • Manage and prioritize multiple email accounts
  • Communicate consistently with insurance carriers and clients throughout the underwriting process
  • Communicate with internal agents regarding client status updates
  • Maintain accurate underwriting status tracking
  • Assist in completing insurance applications
  • Order and track medical records
  • Track and manage state insurance licenses to ensure compliance
  • Manage calendars, including minor adjustments using Calendly
  • Oversee document management and onboarding paperwork
  • Provide project management support and task reminders
  • Review emails daily and use them as the driver of workflow
  • Follow up with clients to ensure required documentation is submitted in a timely manner

Position Details

  • This is a 1099 contractor position with the potential to transition to a W2 position in the future
  • Benefits include PTO, Sick Time, and Paid Holidays
  • The position will be 15 to 20 hours per week with the potential to grow as business needs increase
  • Hours are Monday through Friday, with required availability between 9:00 am and 1:00 pm EST for meetings and real-time communication. The schedule is flexible outside those hours.
  • Travel is required 1 to 2 weeks per year for team and client meetings
  • The pay rate is $29 per hour USD
  • You must be able to pass a background check
  • We are looking for someone to become a long-term (3+ years) team member
