Virtual Rockstar is hiring a Finance & Marketing Administrator on behalf of a growing, U.S.-based company.
The Finance & Marketing Administrator is a hybrid operational role responsible for supporting financial accuracy while also providing oversight on marketing performance and spend. This role blends day-to-day bookkeeping execution with marketing finance tracking to ensure both financial integrity and accountability across campaigns.
The role reports directly to the Controller for all financial matters, with close collaboration with the Company President and external marketing partners. This is an excellent opportunity for someone who enjoys working across finance and marketing, is detail-oriented, and confident communicating insights when performance does not meet expectations.
This is a remote, full-time Virtual Assistant role, open to global candidates with excellent, fluent English communication skills.

They are seeking a Virtual Assistant who can take ownership of financial processes while helping ensure marketing initiatives are measurable, disciplined, and aligned with business goals.
Perform basic bookkeeping in accordance with U.S. GAAP
Manage Accounts Payable (AP) and Accounts Receivable (AR) entry and tracking
Complete daily bank and credit card reconciliations
Process credit card refunds and adjustments
Prepare basic journal entries and account classifications
Maintain accurate and up-to-date records in QuickBooks
Assist with month-end close preparation and reporting
Ensure all transactions are properly documented and coded
Identify discrepancies or variances and escalate when needed
Support audit readiness and internal financial controls
Monitor active marketing campaigns against predefined financial and performance benchmarks
Track key funnel metrics including spend, cost per lead, cost per appointment, conversion rates, and ROI
Identify where campaigns are underperforming (traffic, conversion, lead quality, follow-up)
Prepare clear performance summaries and financial insights for leadership
Communicate directly with external marketing agencies regarding performance gaps and improvement areas
Work closely with the President to align marketing spend with financial targets
Ensure marketing spend remains disciplined, measurable, and accountable
QuickBooks
Microsoft Excel / Google Sheets
Financial and marketing reporting dashboards
Collaboration tools for internal teams and external agencies
Minimum of 2 yearsβ experience in bookkeeping, accounting, or finance support
Working knowledge of U.S. GAAP principles
Hands-on experience with QuickBooks
Experience handling AP, AR, reconciliations, and basic journal entries
Strong Excel or Google Sheets skills
Fluent, professional-level English (written and spoken) with minimal accent or dialect
Strong analytical skills with the ability to explain findings clearly
Highly organized, detail-oriented, and reliable
Comfortable working cross-functionally with finance, leadership, and marketing teams
Experience in a marketing-driven or performance-based business
Familiarity with marketing funnels and performance metrics
Experience working with external agencies or vendors
Comfort operating in a fast-growing or entrepreneurial environment
Background in SaaS, financial services, or professional services is a plus
