Job Summary:

We are seeking a reliable and detail-oriented Remote Customer Service & Bookkeeping Assistant (QuickBooks) to support daily property management operations and administrative functions. This role involves handling customer communications, managing work orders, performing accurate data entry, and providing bookkeeping and collections support using tools such as QuickBooks. The ideal candidate has strong organizational skills, excellent communication abilities, and the capacity to manage multiple responsibilities in a fast-paced environment. This position is well suited for a professional with experience in property management, real estate administration, or bookkeeping who is committed, reliable, and able to collaborate effectively with internal teams, tenants, vendors, and clients while maintaining accuracy and efficiency across all tasks.

Key Responsibilities:

  • Handle customer communications via multiple channels, including inbound and outbound calls and email.
  • Support day-to-day property management operations, including tenant communications and lease-related tasks.
  • Answer, log, route, and manage phone calls and work orders as needed.
  • Enter, track, and manage work orders within internal property management systems.
  • Perform accurate data entry and maintain up-to-date financial and operational records.
  • Assist with basic bookkeeping tasks, including accounts payable, invoicing, and data entry using QuickBooks.
  • Support account reconciliation and assist with basic financial reviews.
  • Provide collections support, including tracking payments and follow-ups.
  • Respond to customer service inquiries from tenants, vendors, and partners.
  • Coordinate with internal teams to ensure timely resolution of issues.
  • Support additional administrative and property-related tasks as assigned.

Qualifications & Requirements:

  • Proficient level of English (written and spoken).
  • Excellent interpersonal and communication abilities to collaborate effectively with teams, leadership, providers, and clients.
  • Basic bookkeeping knowledge and familiarity with accounting or property management systems (QuickBooks Online or similar preferred).
  • Experience in account reconciliations preferred.
  • Strong organizational skills, attention to detail and high accuracy in data entry.
  • Prior experience in property management, real estate administration, or bookkeeping preferred
  • Experience supporting multiple properties or high-volume portfolios is a plus.
  • Prior experience in roles such as administrative assistant, data entry, secretary, customer service, or other relevant positions.
  • Out-of-the-box thinker, quick learner, committed, reliable, and professional demeanor.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets), preferred.
  • Sound judgment and the capacity to comprehend and execute instructions promptly with minimal supervision.
  • Reliable computer (Windows 10 or newer), two monitors, and stable high-speed internet.
