Requirements:

  • Admin and operations: manage invoicing, CRM administration, system/data upkeep, and BP/conveyancer coordination
  • Deal support: organize pre-settlement inspections, rental appraisals, liaise with property managers and trades, and support post-exchange/pre-settlement processes
  • Client and stakeholder communication: day-to-day client communications, professional point of contact across transactions, and management of deal-related correspondence
  • Scheduling, logistics, and market research: calendar management, travel arrangements, keeping key dates/follow-ups on track, and preparing CMA and assisting with deal evaluation and reporting

Job description

Fully remote role (South Africa-based)

Working hours: 10:00am – 6:00pm Sydney time
(1:00am – 9:00am South African time)

40 hours per week

Role Purpose

Support the day-to-day operations of a growing buyer’s agency by handling admin, coordination, and communication tasks so the lead agent can stay focused on strategy, sourcing, and clients.

This is a detail-heavy, execution role. If systems, follow-ups, and keeping plates spinning is your thing — you’ll thrive here.

Key Responsibilities

📋 Administration & Operations

  • Managing and organising invoicing
  • General CRM administration and data upkeep
  • Building & Pest (B&P) administration
  • Conveyancer coordination and admin
  • Sending exchanged contracts to brokers
  • Managing emails and inbox triage
  • Organising and sending client merch packs

🏠 Transaction & Deal Support

  • Organising pre-settlement inspections
  • Requesting and managing rental appraisals
  • Liaising with property managers
  • Coordinating communication with trades
  • Supporting post-exchange and pre-settlement processes

📞 Client & Stakeholder Communication

  • Day-to-day client communications
  • Liaising with agents when required
  • Managing ongoing deal-related correspondence
  • Acting as a professional point of contact across transactions

🗓 Scheduling & Logistics

  • Calendar management
  • Coordinating travel arrangements
  • Keeping key dates, deadlines, and follow-ups on track

📊 Market & Research Support

  • Preparing Comparative Market Analyses (CMA)
  • Assisting with admin tasks linked to deal evaluation and reporting
