Job description

Staff4Me is looking for a creative and organized Event Planner to join our dynamic team. In this role, you will be responsible for conceptualizing, organizing, and executing a wide range of events that enhance our brand and achieve strategic objectives. The ideal candidate should possess 3+ years of event planning experience and have a proven track record of managing logistics for both virtual and inperson events. You will work collaboratively with various teams to ensure each event is seamless and successful, reflecting the values and vision of our organization.

Key Responsibilities:

1. Event Conceptualization and Design:

• Develop unique event themes and concepts that align with company goals.

• Create detailed event proposals, budgets, and timelines for approval.

2. Logistics Coordination:

• Manage all aspects of event logistics, including venue selection, catering, decorations, and audiovisual requirements.

• Coordinate with vendors and suppliers to ensure timely delivery and setup of materials.

3. Marketing and Promotion:

• Collaborate with the marketing team to promote events through various channels, including social media, email marketing, and newsletters.

• Oversee registration processes, track attendance, and manage communication with participants.

4. OnSite Management:

• Supervise all onsite activities during events to guarantee a smooth execution.

• Serve as the main point of contact for vendors, clients, and attendees on event days.

5. PostEvent Evaluation:

• Collect feedback from attendees and stakeholders to evaluate event success and identify areas for improvement.

• Prepare postevent reports, including metrics on attendance, engagement, and impact.

Additional Notes:

• This role reports to the Director of Events and requires collaboration with multiple departments.

• Occasional travel may be required for site visits and events.

Requirements

• Proven Event Planning Experience: Minimum of 3 years in event planning or project management.

• Strong Organizational Skills: Ability to manage multiple projects simultaneously and meet deadlines.

• Excellent Communication Skills: Comfortable communicating with clients, vendors, and internal teams.

• Creative Problem Solver: Ability to think on your feet and handle unexpected challenges.

• Proficient in Event Management Tools: Experience with platforms like Eventbrite, Cvent, or similar.

• Flexible and Adaptable: Willingness to adapt to changing priorities and work in a fastpaced environment.
