Position: Bookkeeper Virtual Assistant

Working Hours: US Business Hours

Hiring Company: We are a 10 year old remote staffing business with a fully remote team of 100+ employees. We started as a customer service agency, but have leveraged our client experience and technical acumen to become the industrys first AI empowered (human) virtual assistant service.

About the Role:

We are looking for a Bookkeeping Virtual Assistant empowered by AI tools to support financial operations and general business tasks. This role requires a highly organized and detailoriented professional with a strong background in bookkeeping and accounting.

You’ll be responsible for managing financial records, preparing invoices, reconciling statements, and generating financial reports—while also handling routine administrative support. If you’re experienced in accounting software, techsavvy, and comfortable using digital tools to streamline workflows, this is an excellent opportunity to join a forwardthinking team.

Key Responsibilities:

Bookkeeping & Accounting (50%)

  • Manage and record financial transactions
  • Process invoices, receipts, and payments
  • Reconcile bank statements and financial records
  • Prepare financial reports and summaries
  • Assist with tax preparation and compliance (if needed)
  • Maintain accurate bookkeeping records in QuickBooks, Xero, or similar software
  • Handle accounts payable and receivable
  • Compile financial reports and present them to the Finance Director & CEO
  • Assist with knowledge base data management
  • Compile sales tax returns and submit
  • Work with the Finance Director to complete state, local, and corporate payments
    • General VA Tasks (50%)

      • Manage emails and correspondence
      • Organize and update files, spreadsheets, and databases
      • Assist with administrative tasks like scheduling and calendar management (Google Calendar, Calendly)
      • Support project management tasks using Asana, Trello, or ClickUp
      • Followups via email, chat, andor phone
      • Conduct online research and data entry tasks
      • Communicate with vendors, clients, and team members as needed
        • Requirements

          What You Bring to The Table:

          • At least 1+ years of experience as a Virtual Assistant, with a focus on bookkeepingaccounting
          • Minimum of 2 years of remote work experience
          • Experience using accounting software such as QuickBooks, Xero, Wave, or FreshBooks
          • Proficiency with project management tools like Asana, Trello, or ClickUp
          • Familiarity with AI tools like ChatGPT, Claude AI, Gemini, Notion AI, or Canva AI (preferred but not required)
          • Strong general business support skills, including:
            • Administrative assistance
            • Calendar and schedule management
            • Email and inbox handling
            • Documentation and reporting
              • Excellent English communication skills (both written and verbal)
              • Strong attention to detail and organizational skills
              • Ability to handle confidential financial information securely
              • Techsavvy and comfortable using productivity tools such as Google Workspace, Microsoft Office, and Slack
                • NicetoHave Skills:

                  • Experience with payroll processing
                  • Knowledge of tax regulations and compliance (depending on the country)
                  • Ability to analyze financial data and suggest process improvements
