What you will do: 
The Transactions department ensures the integrity, compliance, and efficiency of real estate transactions. It guarantees that processes, documents, and reports align with company policies and local regulations. The Agent Operations Specialist supports agents, optimizes workflows, mitigates compliance risks, and ensures timely payments by coordinating with Finance. This role also audits business activity, tracks agent productivity, and serves as a compliance champion for real estate operations.

Agent Support Responsibilities

  • Act as the primary point of contact for new agents or teams, addressing questions and concerns.
  • Assist agents with transaction-related inquiries, providing guidance and support.
  • Review agent listings in CRM to ensure data accuracy and compliance.
  • Monitor company real estate portals to ensure listings are aligned with brand standards.
  • Publish and update individual agent listings on portals and manage lead forwarding.
  • Supervise listing’s inquiries.
  • Participate in community-building efforts via Slack and Metaverse.
  • Give support to event organization and other operational activities.

Transaction Responsibilities

  • Supervise, process, and review all transactions from listing to payment.
  • Validate, track, and report on closing documents and commission payments.
  • Support agents on compliance, policy requirements, and transaction best practices.
  • Coordinate with Finance to ensure accurate and timely commission payments.
  • Perform internal audits of unreported transactions and listing activity.

Key Responsibilities & Performance Standards

  • Ensure complete, correct documentation at all transaction stages: listing, promise, closing, and payment.
  • Provide continuous agent support from onboarding through post-closing.
  • Maintain weekly and monthly reports (listings, closings, pending payments).
  • Actively train agents on compliance processes and improve operational performance.
  • Uphold and update templates by country (contracts, disclosures, checklists).
  • Implement the processes established in the SOP.
