Role Name: Administrative Assistant

Schedule:

  • Parttime (20 hours per week with growth potential to 3540 hours)
  • Monday to Friday 8 AM to 12 PM

      Job Description

      This is an exciting opportunity to become an integral part of a growing hydraulics business where you’ll streamline operations and support strategic business growth. You’ll work with stateoftheart business management systems including Simpro CRM, managing everything from customer relationships to inventory control. The role offers tremendous growth potential, starting parttime with the opportunity to expand to fulltime as you become more embedded in the team. You’ll be working remotely while maintaining close collaboration with the leadership team through modern communication tools, making a real difference in a fastpaced, resultsdriven environment.


      Responsibilities
      • Manage comprehensive data entry and customer relationship activities in Simpro CRM system
      • Process invoicing, payments, and credit notes through integrated business management platforms
      • Oversee procurement activities and purchase order processing to support operations
      • Create advanced Excel spreadsheets with formulas and algorithms for inventory management
      • Coordinate two critical email channels (administration and accounts) ensuring seamless communication
      • Manage executive calendars across the leadership team using integrated Outlook systems
      • Lead inventory reconciliation projects and implement new barcode management systems
      • Monitor stock levels and execute automated reordering processes using systemgenerated reports
      • Maintain comprehensive health and safety documentation to support certification requirements
      • Support digital marketing initiatives including website management and social media activities
      • Execute strategic customer outreach programs and maintain relationship databases
      • Track and report on key performance indicators to support business decisionmaking
      • Manage invoice processing through EasyBills with seamless API integration to primary systems

          • Proven expertise in Excel including advanced formulas, data analysis, and algorithm creation
          • Strong administrative background with experience in fastpaced business environments
          • Demonstrated ability to quickly learn and master multiple software platforms
          • Exceptional data entry skills with meticulous attention to detail and accuracy
          • Experience with CRM systems (Simpro knowledge preferred but comprehensive training provided)
          • Outstanding organizational abilities and time management skills in remote work settings
          • Excellent written and verbal communication skills for professional client interactions
          • Selfmotivated with ability to work independently while maintaining team collaboration
          • Adaptability to evolving business processes and willingness to embrace new technologies
          • Inventory management system experience highly valued
