POSITION OVERVIEW:

The Alumni Services Coordinator plays a vital role in maintaining long-term engagement and support for program graduates during the five years following program completion. This position is focused on maintaining strong relationships with alumni, facilitating continuous communication, and connecting graduates to resources that support their career and personal development. Operating within the case management team and reporting to the Student Services Manager, the Alumni Services Coordinator will develop and implement strategies to support alumni retention and career growth. This is a key position that supports the program’s long-term goal of increasing the percentage of graduates earning at least family-sustaining wages within five years of program graduation.

RESPONSIBILITIES:

I. Alumni Engagement and Communication

  1. Maintain regular communication with graduates by phone, email, and text, including completing employment milestones in Salesforce.
  2. Support job retention and advancement by connecting alumni to coaching and supportive services, including referrals to the career services team for job search assistance. 
  3. Utilize various communication platforms (email, text, social media, newsletters) to share program news, events, and opportunities with alumni.
  4. Build partnerships with external organizations to expand alumni career advancement opportunities.
  5. Maintain relationships with key alumni influencers to strengthen the alumni network.

II. Case Management and Program Development

  1. Provide personalized case management support to alumni, addressing financial, personal, and professional needs, or referring them back to their original case manager as appropriate.
  2. Advocate on behalf of alumni with parole/probation agents and other external agencies.
  3. Lead development of post-graduation services, including one-on-one support, group programming, workshops and communications.
  4. Design and implement alumni-focused programming that promotes job retention, career advancement, and continued engagement.
  5. Develop and facilitate 2–4 hour workshops focused on personal and professional development for currently enrolled participants.

III. Data Collection and Reporting

  1. Maintain accurate and timely records of alumni engagement by entering service records and milestones in Salesforce. 
  2. Collect and report on alumni employment outcomes through ongoing communication. 
Qualifications

EDUCATION AND EXPERIENCE:

  1. Experience providing coaching, case management and/or serving as a mentor.
  2. Proficiency with computers and accurate note-taking.
  3. Knowledge of community resources and referral processes, particularly in an urban setting.
  4. Experience in workforce development is preferred. 

SKILLS AND ABILITIES: 

  1. Ability to establish and maintain effective counseling relationships with program participants. 
  2. Highly organized, detail-oriented, and able to manage multiple projects simultaneously.
  3. Ability to work independently under pressure and tight deadlines. 
  4. Excellent verbal communication skills, interpersonal relations skills, and writing skills.
  5. Ability to recognize problems, develop innovative solutions and implement them
  6. Ability to adhere to a strict guideline of keeping and maintaining confidential information. 
  7. Ability to prepare and submit accurate and reliable reports. 
  8. Able to build deep supporting relationships with program graduates from historically marginalized communities.
  9. A valid driver's license is preferred. 

Work Environment & Schedule:

  • Schedule: The work schedule is typically Monday through Friday from 10am to 6pm, with flexibility to accommodate regular evening and weekend alumni communication activities.
  • Travel: Regular local travel for alumni case management appointments and meetings with external partners.
  • Remote Work: The position is eligible to work from home up to two days per week, and would work at least 3 days per week from Civic Works’ office in Baltimore City. During the 90-day orientation period, additional in-office days will be required. This arrangement is subject to change based on organizational needs and may be adjusted to include additional in-person time.
