Job description

This is a remote position.

Job highlights:
  • 40 hours week
  • MonFri, 8.00am to 5.00pm EST with 1 hr unpaid break
  • Location: Florida

    • Position Summary:
      We are seeking a highly organized and proactive Personal Assistant to provide direct support in managing travel logistics, meeting coordination, and administrative communication. The ideal candidate is detailoriented, techsavvy, and able to manage competing priorities with discretion and efficiency.

      Key Responsibilities:
      Travel Coordination
      ● Plan, book, and manage both domestic and international travel arrangements, including:
      ○ Airfare
      ○ Hotel accommodations
      ○ Ground transportation (car service, rideshare, rental vehicles)
      ● Prioritize safety, efficiency, convenience, and reliability when selecting travel providers and accommodations
      ● Ensure all necessary documentation, such as passports, visas, and international requirements, are properly managed
      ● Prepare detailed itineraries and keep schedules updated in real time
      ● Manage lastminute changes or disruptions with minimal impact

      Calendar & Meeting Management
      ● Coordinate and maintain an accurate calendar for all:
      ○ Inperson meetings and speaking engagements
      ○ Virtual appointments (Zoom, Teams, etc.)
      ● Confirm meetings with attendees, prepare agendas, and manage time zones
      ● Provide daily and weekly schedule briefings

      Travel Compensation Inquiries
      ● Tactfully communicate with clients to inquire about and confirm compensation for travelrelated arrangements
      ● Track responses and follow up as needed to ensure clarity and timeliness
      ● Coordinate with internal records to log approved compensation details

      Qualifications:
      ● Proven experience as a Personal Assistant, Executive Assistant, or similar role
      ● Adept at managing both international and domestic travel logistics
      ● Fluent in English, with clear and professional verbal and written communication skills
      ○ Must be easily understandable to British clients and colleagues
      ● Proficient with tools like Google Calendar, Google Docs, Zoom, Webex, and travel booking platforms
      ● Exceptional organizational and multitasking skills
      ● Ability to handle confidential information with discretion
      ● Selfmotivated, flexible, and capable of working independently

      Preferred Qualifications:
      ● Experience in managing personal and professional schedules
      ● Familiarity with British business etiquette and communication styles
      ● Availability across multiple time zones, if needed
