This is a remote position.

Schedule:

  • Approximately 20 hours per week)
  • Flexible schedule with occasional checkins during overlapping time zones
    • Client Timezone: Eastern Time (Brooklyn, NY)

This innovative business produces original music while organizing exciting DJ gigs and events throughout the year. The team conducts 45 seasonal tours annually, traveling across the country to bring their artistic vision to audiences everywhere. In addition to the entertainment business, you’ll also support a wellmanaged rental property operation. This is a growing, entrepreneurial environment where creativity meets business acumen, and your administrative expertise will directly enable the team to focus on their artistic vision and business expansion.


      Job Description

      This is an exciting opportunity to work behind the scenes with a creative entertainment business that values efficiency and artistic excellence. You’ll play a crucial role in managing the operational details that keep both a touring music collective and rental property business running smoothly. As the team focuses on hightouch creative work and business development, you’ll handle essential administrative tasks that make everything possible. This parttime position offers flexibility and the chance to work with a growing entertainment business during an exciting period of expansion and touring activity.

      Responsibilities
      • Coordinate and book flights for touring artists (23 people traveling every weekend during active tour months)
      • Execute and manage contracts for DJ gigs and entertainment events
      • Create professional invoices and manage client billing processes
      • Follow up on outstanding invoices and payments to ensure timely collection
      • Track booking opportunities, contracts, and deposits using Airtable (primary business tool)
      • Manage email correspondence related to bookings, events, and client communications
      • Perform accurate data entry for rental property expenses and monthly bills
      • Calculate and categorize rental property expenses including repairs, renovations, and maintenance costs
      • Maintain organized spreadsheets and records for yearend tax preparation
      • Provide comprehensive administrative support across both entertainment and property businesses


        • Requirements
          • Proficiency in Airtable (this is the primary organizational tool used daily)
          • Strong data entry skills with exceptional attention to detail
          • Experience with administrative tasks, email management, and client communication
          • Ability to work independently with minimal supervision in a flexible environment
          • Excellent organizational skills for managing multiple business operations
          • Comfortable with messagingbased communication and flexible working hours
          • Basic understanding of invoicing, contract management, and business processes
          • Reliable internet connection and professional computer setup
          • Experience supporting creative or entertainment businesses is a plus
          • Ability to handle both timesensitive tasks (tour bookings) and routine administrative work
