About the Role

  • Monday - Thursday: 9 am - 5 pm in the office
  • Friday: 9 am - 12 pm. Managers work from home
  • Manage a Portfolio of 7-8 Single-Family Homes
  • Work with a dedicated Admin and Inspector per Manager
  • Visit Communities when there are Board Meetings or Inspections

Responsibilities:

Communications:

  • Respond to all emails and voicemails within 24 hours (Monday–Thursday); weekend messages should be addressed by end of day Monday.
  • Maintain proactive communication with Boards, homeowners, vendors, inspectors, and staff to align on expectations and address community needs.
  • Ensure timely distribution of community notices and updates via email, portals, and message boards.

Financial Management

  • Review and approve invoices daily, verifying accuracy and correct allocation.
  • Monitor accounts receivable and coordinate with Boards and AR staff on collection strategies.
  • Review monthly financials, report discrepancies, and present summaries to Boards at meetings.
  • Track community cash flow and alert Boards of funding concerns.
  • Draft annual budgets and assist Boards through the approval process.

Board & Annual Meetings

  • Schedule and provide proper notice for Board and annual meetings in compliance with governing documents and Texas Property Code 209.
  • Prepare agendas and Board packets; lead meetings and record actionable items.
  • Coordinate and facilitate annual meetings, including ballot processing, quorum tracking, and election reporting.

Property Inspections & Maintenance

  • Conduct monthly property inspections; report findings and maintenance needs to the Board.
  • Verify vendor performance and contract compliance during site visits.
  • Promptly address and escalate urgent or liability-related issues (e.g., leaks, safety hazards)
  • Ensure community assets (e.g., pools, clubhouses) are clean, safe, and compliant with permits.

    Project Oversight & Vendor Management

    • Create and distribute RFPs for community projects; prepare bid comparison summaries.
    • Maintain vendor records (contracts, COIs, W9s), and oversee contract renewals.
    • Assist in managing reserve studies, insurance claims, audits, and special projects

    Compliance & Governance

    • Guide Boards on compliance with governing documents, Texas Property Code 209, and best practices.
    • Coordinate ARC applications and appeals; support enforcement and review of community violations.
    • Maintain management and service agreements; ensure proper notice and renewals.

    Qualifications:

    • At least 3 years of Portfolio Management experience
