Responsibilities
  • Handle all incoming phone calls with professionalism and take detailed, accurate messages
  • Conduct outbound customer calls for accounts receivable management and payment collection
  • Provide exceptional customer service and resolve inquiries with a solution-focused approach
  • Coordinate scheduling and manage appointment bookings efficiently
  • Process accounts receivable transactions and maintain persistent follow-up on outstanding payments
  • Master the ServiceBridge platform (similar to Salesforce) for comprehensive customer relationship management
  • Utilize RingCentral phone system to manage all business communications seamlessly
  • Execute general administrative tasks that support daily business operations
  • Support QuickBooks accounting functions and maintain accurate financial records
  • Handle invoicing processes and respond to billing-related customer inquiries
  • Manage company email correspondence for administrative and billing matters
  • Adapt to evolving business needs and take on additional responsibilities as the company grows


Requirements

  • Excellent English communication skills with a professional phone presence for customer interactions
  • Proven experience in administrative tasks and customer service excellence
  • Background in accounting or QuickBooks experience strongly preferred
  • Demonstrated ability to quickly learn and master new software platforms
  • Professional demeanor with strong customer service orientation
  • Reliable high-speed internet connection and dedicated quiet workspace
  • Flexibility to work during US Eastern Time business hours (8 AM - 4 PM EST)
  • Experience handling accounts receivable and comfortable making collection calls
  • Detail-oriented with exceptional organizational and time management skills
  • Self-motivated with ability to work independently while maintaining regular communication
