Job description

This is a remote position.

40 hours per week

Mon - Fri, 8 AM - 5 PM Florida Time, includes 1h unpaid break 


Job Description

We are seeking a detail-oriented and reliable Accounts Payable Admin to support our finance department. This role will be using QuickBooks Online and Microsoft Excel. The ideal candidate will assist in processing invoices, preparing routine financial reports, and performing basic data analysis to support internal decision-making.


Responsibilities
  • Monitoring email inbox for the receipt of invoices.
  • Recording daily financial transactions in QuickBooks Online and Microsoft Excel.
  • Managing vendor bills, sending remittance notifications, and payment tracking.
  • Assisting with month-end close activities and journal entries.
  • Preparing basic financial reports (P&L, balance sheet, A/R aging, etc.). *The auto generated reports from QBO are sufficient*.
  • Supporting the Finance Manager with ad-hoc Excel-based reporting and inventory analysis.
  • Organizing and maintaining financial records in compliance with internal controls.


Requirements
  • Proficiency in QuickBooks Online (coursework, certification, or hands-on experience preferred).
  • Intermediate skills in Microsoft Excel, including functions like VLOOKUP, SUMIFS, and PivotTables.
  • Strong attention to detail and organizational skills.
  • Basic understanding of accounting principles (debits/credits, revenue recognition, etc.)
  • Ability to work independently and meet deadlines.
