What We're Looking For

We’re looking for a proactive, hands-on Office Manager to ensure smooth daily operations, support employee needs, and help foster a positive, efficient workplace environment.


Key responsibilities:

Office operations & facilities
  • Maintain accurate records and ensure policy compliance. Oversee day-to-day office functionality and cleanliness.

  • Liaise with the Facility Team for supplies, furniture, and maintenance.

  • Manage relationships with suppliers, vendors, and contractors.

  • Support office upgrades, renovations, and H&S compliance.

Employee support & experience

  • First point of contact for office-related queries.

  • Assist with onboarding (workstation setup, orientation).

  • Organize office events, celebrations, and team-building activities in cooperation with the events team.

Supplies & services

  • Track, manage, and restock office inventory.

  • Manage Service Desk requests related to office matters.

Budgeting & documentation

  • Monitor office expenses and vendor contracts.

  • Maintain accurate records and ensure policy compliance.

  • Collaborate on Business Continuity Planning (BCP).

Required skills:

  • Proven experience in Office Management or similar roles.

  • Strong organizational, multitasking, and communication skills.

  • Experience with office fit-outs, renovations, or infrastructure projects.

  • Proficient in English (Upper-Intermediate+);

  • Tools like Slack, Jira, Asana, and Confluence are a plus.

  • Customer-oriented mindset, initiative, and adaptability.

  • Willingness to undergo H&S training and manage compliance topics.

  • Ability to be in the office 5 times per week (Barcelona, Spain) - Poblenou area.
