Marketing Project Coordinator - Work from Home

The Marketing Project Coordinator is a hybrid strategic and tactical role designed to provide executive-level marketing guidance and hands-on support for mid-sized healthcare practices. Operating under the guidance of Customer Success, this position ensures seamless execution of marketing initiatives across SEO, social media, and growth campaigns, while maintaining clear communication between stakeholders and the internal execution team.
Key Responsibilities

Project Coordination & Execution
  • Oversee article and social posts on behalf of respective clients for accuracy, brand voice, and SEO.
  • Coordinate cross-functional tasks between designers, content writers, and key team players to ensure timely delivery.
  • Support the setup, monitoring, and reporting of paid ad campaigns and conversion optimizations.
  • Oversee SEO-related tasks: keyword updates, on-page optimizations, and website audit follow-ups.
  • Support clients with review acquisition efforts, monitor review volume, and support in‑house client staff to achieve targets.
  • Daily, evaluate new client tickets and make proxy decisions on behalf of the client; escalate major projects/approvals to the client as needed.
  • Support high-impact marketing efforts as & when clients introduce new services or launch new initiatives.
     
Client & Stakeholder Communication
  • Serve as the primary point of contact for clients on operational matters.
  • Provide clients high‑level summaries of upcoming tasks/projects, key milestones, and any required feedback.
  • Deliver quarterly internal reports on approvals, cycle times, patient acquisition metrics, and process improvements to relevant stakeholders.
     
Strategic Support & Planning
  • Assist in developing quarterly and monthly marketing strategies aligned with client goals.
  • Conduct market and competitor research to inform campaign recommendations.
  • Prepare and maintain a marketing playbook for clients, including process documentation and best practices.

Performance Tracking & Reporting
  • Compile and follow up on marketing performance metrics (e.g., lead volume, website traffic, new patients, call reviews).
  • Prepare concise, actionable reports and presentations for client and leadership review.
  • Maintain real‑time dashboards tracking on‑time approvals, average review time, tickets resolved independently, and new-patient call volume.
  • Monitor key KPIs and escalate potential issues or opportunities to Customer Success.
     
Qualifications & Skills
  • Bachelor’s degree in Marketing, Business Administration, or related field.
  • 3+ years of experience in marketing operations, project management, or coordinator roles.
  • Demonstrated understanding of SEO best practices and social media management tools.
  • Proficient with HubSpot (or similar CRM) and Google Analytics.
  • Strong organizational skills with the ability to manage multiple projects concurrently.
  • Excellent written and verbal communication skills.
  • Detail-oriented mindset and a proactive problem-solver.
  • Experience in healthcare or professional services marketing.
  • Familiarity with paid digital advertising platforms (Google Ads, Facebook Ads).
  • Basic knowledge of graphic design tools (Canva, Adobe Creative Suite).
  • Certification in project management (e.g., PMP, Agile Scrum Master).

Work Hours & Expectations
Since we deal with U.S clients, you are expected to work all 8 hours at night Sri Lanka time (this is non-negotiable).
Note: Working 8 hours a day is a must.  (The schedule is to be decided based on the requirements of the role and the company policies)
You will be eligible for Canadian holidays only. Sri Lankan mercantile holidays are not applicable to this role.
You will be required to work additional hours based on requirements (if needed only.)
You will be expected to be 100% committed to completing your work according to the given deadlines.
