Job description

We are looking for a highly organized and proactive Personal Assistant (PA) to support the Director on a part-time basis. The successful candidate will have excellent administrative and communication skills and the ability to manage a variety of tasks efficiently.

This role requires someone who can manage schedules, coordinate correspondence, handle expense management, and provide high-level administrative support. The ideal candidate will be a confident multitasker with a professional approach and the ability to work independently.

Key Responsibilities:

✔ Diary & Schedule Management:

Manage the Director’s calendar, scheduling meetings, appointments, and events.

Ensure all engagements are planned and prioritized effectively.

✔ Administrative Support:

Draft, edit, and format correspondence, reports, and presentations.

Handle incoming and outgoing emails, calls, and messages.

Organize and maintain electronic and paper files.

✔ Expense Management:

Collate monthly receipts and prepare an expense form.

Attach receipts and submit the completed form to the Director for sign-off.

Send approved expense forms to accounts for payment processing.

✔ Task Coordination:

Coordinate with other departments and external stakeholders to ensure tasks and projects are on track.

Take minutes during meetings and follow up on action points.

✔ Travel Arrangements:

Organize travel, accommodation, and itineraries as required.

✔ Project Support:

Assist with projects and ensure deadlines are met.

Prepare documents, reports, and summaries for presentations.

✔ Confidentiality:

Handle sensitive information with the utmost discretion and professionalism.


Requirements

 Qualifications:

No formal qualifications are required, but relevant qualifications in business administration or secretarial studies are desirable.

✔ Experience:

Proven experience as a Personal Assistant, Executive Assistant, or similar role.

✔ Skills & Attributes:

Excellent organizational and time management skills.

Strong written and verbal communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Ability to multitask and prioritize effectively in a fast-paced environment.

A proactive and adaptable mindset with attention to detail.

Part-time, 3 days per week, with some remote working flexibilit

(pro-rata, based on £25,000 - £30,000 full-time equivalent)
