Executive Assistant

Full-Time | Remote | Supporting Sales Operations

Are you a highly organized communicator who thrives in fast-paced environments? Were hiring an Executive Assistant (EA) to support a dynamic sales team. This person will be critical in ensuring that prospects complete all brand audit prep steps promptly and that the sales team stays organized and efficient.

Responsibilities:
  • Post-Call Follow-Up: Ensure prospects complete brand audit prep steps after speaking with Account Executives (AEs), including:
    Submitting necessary materials
    Granting seller account access
    Filling out the analysis form
  • Communication: Follow up via email and SMS to confirm receipt of materials, collect missing items, or provide clarifications.
  • Scheduling Support: Schedule and reschedule calls when needed; respond to inbound scheduling requests promptly and professionally.
  • CRM Management: Track follow-up progress, update statuses, and flag missing steps using Pipedrive.
  • Calendar Oversight: Keep sales team calendars clean, up-to-date, and organized.
  • Administrative Coordination: Handle various sales admin tasks so AEs can stay focused on closing deals.
Requirements:
  • Fluent English communicator (written and spoken), with a clear,

    natural tone.
  • Strong follow-through and a high sense of ownership nothing slips through the cracks.
  • Extremely organized and detail-oriented, with proven experience managing follow-ups and scheduling.
  • Tech-savvy, familiar with tools like:
    . Pipedrive (CRM) Slack (team comms)
    . Google Calendar (scheduling)
    . Asana (task management)
    . Zoom & Loom (video comms)
  • Friendly, professional demeanor, especially when communicating with prospects.
  • A basic understanding of Amazon FBA is a plus.
Working Hours & Expectations
  • Availability: 9:00 AM 4:00 PM EST preferred
  • Reporting: Daily updates via Slack, with optional Loom video summaries
