The Purchasing Specialist is responsible for order set-up and delivery so that the Company can bill on time and exercise good cash flow. The order review and issuance phase includes the inspection of all part numbers of an order to ensure accuracy. When discrepancies are discovered, the specialist does the research as quickly as possible to rectify the mistake. Simultaneously the Specialist tracks all orders that are in process to ensure the on-time delivery of the products to the Customer that were purchased from one of our many Suppliers. If delivery appears to veer, or is, off track, then the Specialist takes action to coordinate between the Customer and Supplier to either expedite the delivery or mitigate it to a satisfactory solution. The Specialist reports to the Director of Procurement.

Requirements


  • Review pending orders entered by either the Contracts or Sales teams to ensure order requirements have been met and all information is accurate. 
  • Set up item details in ERP system database that are to be ordered. 
  • Issue purchase orders to suppliers (these occur daily) and confirm order acknowledgement. 
  • Keep track of orders that are in the queue (open orders) by contacting suppliers for order status updates, documenting each of these updates in reports and JD Edwards. 
  • Work with suppliers to minimize order delays, obtaining written explanations of delays where required, and then work with the Contracts or Sales teams on delivery date extension requests.
  • Track large dollar pre-payment deals (multi-million dollars in nature) with suppliers to ensure that milestones and key deliverables are met on schedule. Immediately report up the chain of command when issues arise with these high-risk deals. 
  • Querry and coordinate with suppliers for additional discounts that are beneficial to both Darley and the Suppliers, ensuring inventory is turned in a timely manner.
  • Maintain awareness of stagnant inventory and propose ideas to move the products in the most economical and profitable manner.
  • Manage supplier account updates in JD Edwards, including key company information and product pricing updates. 


WORK ENVIRONEMENT 

This job operates in a professional office environment and/or remote environment at both the Itasca and remote offices. This role routinely uses company standard office equipment such as computer and cell phones.


PHYSICAL DEMANDS 

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.


POSITION TYPE / EXPECTED HOURS OF WORK 

This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 4:30 p.m. or as otherwise required.


TRAVEL 

This position requires travel as needed. 



ESSENTIAL QUALIFICATIONS


Education

  • Bachelor's Degree in a technical or business discipline or equivalent experience preferred.

Experience

  • Experience in a similar role or with similar responsibilities at an outside organization.
  • Background in procurement, supply chain or operations role(s) a plus.
  • Experience with MS Office suite of products.

Skills

  • Strong organizational and communication skills.
  • Strong attention to detail. 
  • Effective communicator across multiple teams.
