Job Description

In this role, you will lead our HR Document Management Systems team within the Digital & Analytics department in People & Culture.

You will lead the designing and implementing an end-to-end HR document management process, ensuring compliance with data retention, privacy, and legal requirements. AS well as overseeing the administration and management of employee documentation systems, ensuring efficient storage, retrieval, and reporting. 

This role is a 12 month contract. 

Responsibilities 

  • Leads the end-to-end implementation of the HR document management system 

  • Leads the migration of existing HR documents into the new system, ensuring data integrity and security. 

  • Develops and delivers training programs for P&C teams and other stakeholders to ensure effective use of the new system.  

  • Provides ongoing support and troubleshooting. 

  • Collaborating with Legal on compliance and regulatory requirements, including data protection and privacy laws. 

  • Supervises the team.  

  • Provides day-to-day guidance to the team and internal and external stakeholders.  

  • Plans, creates, and executes test scripts. 

  • Tests new modules and/or functionality. 

  • Assists with other system rollouts and upgrades, and  

  • Instructs users on system application and functionality.  

  • Monitors the timeliness of all activities, resolving conflicting priorities and resource allocation issues.  

  • Prepares regular updates for management on the team processes and status.  

  • Monitors team member performance and recommends/ensures provision of on-the-job and formal development opportunities. 

 

Qualifications
  • Bachelor’s Degree in HR, Business administration, or a related field 

  • Previous experience working in HR, preferably employee records management or HRIS. SAP experience preferrable.  

  • Strong knowledge of HR data & employee records management 

  • Proven team management and project management skills 

  • Experience in agile work environments 

  • Excellent interpersonal and communication skills 

  • Attention to detail 

  • Proficiency in scaled environments and SuccessFactors 

  • Strong problem-solving abilities 

  • Proficiency in Office 365  

Compensation and rewards

Due to legal reasons, we are obliged to disclose the minimum salary for this position, which is €72.000 gross per year based on full-time employment. We offer a higher salary in line with qualifications and experience.
