Job description

Work Arrangement: Fully remote, 9 am - 5 pm Eastern Time, with flexibility (8 am - 4 pm ET also possible).

Job Type: Full-time

Salary Range: Up to $1,700 per month, dependent on skills and experience

Work Schedule: 40 hours per week

Locations: Remote, open to candidates from the Philippines

You will be responsible for managing schedules, arranging travel, and assisting with various operational tasks to help the company achieve its ambitious goals.

Job Impact:

In this role, you will play a key part in enabling the leadership team to focus on the company’s core mission. By managing calendars, coordinating meetings, and handling operational tasks, you will directly contribute to the company's success and growth.

Key Responsibilities:

1. Scheduling and Time Management:

  • Manage the CEO’s calendar and coordinate with the five founders for availability.
  • Schedule meetings, set timely reminders, and ensure all events are prioritized.
  • Handle last-minute changes or conflicts with efficiency and professionalism.

2. Travel Management:

  • Arrange domestic and international travel for the CEO, including flights, accommodations, and transportation.
  • Prepare detailed travel itineraries and ensure all necessary arrangements are in place.
  • Handle changes in travel plans and any required adjustments.

3. Administrative and Operational Support:

  • Assist with ad-hoc projects, such as tracking expenses, processing invoices, and providing research support.
  • Manage logistics for internal team events, company-wide meetings, and conferences.
  • Support the CEO with additional operational tasks as needed.

Immediate Week 1 Tasks:
  1. Attend onboarding and training sessions to familiarize yourself with the company’s tools and processes.
  2. Meet with the CEO and founders to understand their scheduling preferences and availability.
  3. Begin managing the CEO’s calendar and start organizing meetings.
  4. Arrange upcoming travel plans and accommodations for the CEO.
  5. Assist with operational tasks such as handling invoices and event logistics.

Requirements

  • 2 or more years experience as an Executive Assistant or Virtual Assistant, preferably in a tech startup or fast-paced environment.
  • Proficient in GSuite and Notion for managing calendars, documents, and project tracking.
  • Strong organizational and time management skills to handle complex scheduling and prioritize tasks effectively.
  • Excellent communication skills, both written and verbal, with native-level fluency in English.
  • Tech-savvy with a quick ability to learn new tools and adapt to changing needs.
