Responsibilities

Prospect Research and Database Development

  • Identify suitable Australian and New Zealand small and medium-sized businesses aligned with the client’s target markets and services.
  • Research prospects’ websites, services, decision-makers, marketing activity, business developments, networking attendees, and referral opportunities; prepare prioritized prospect recommendations and call briefs.
  • Create, update, and de-duplicate leads, contacts, accounts, and opportunities in Zoho CRM, including source, consent, notes, and next actions.

Marketing Content Production and Administration

  • Turn approved ideas, voice notes, and source materials into draft LinkedIn posts, carousels, short-form video scripts, newsletters, and campaign content, using AI tools where appropriate.
  • Prepare simple on-brand graphics and edit short videos using approved templates and brand guidelines.
  • Load, schedule, and quality-check approved content and advertising in Zoho Social or other authorized platforms.
  • Maintain the content calendar, asset library, approval status, and publishing records.
  • Monitor comments, messages, and campaign responses; record relevant activity in the CRM and escalate sales or reputational concerns.
  • Monitor marketing performance, prepare reports, and recommend practical improvements for the client’s own campaigns and client campaigns.

Business Development Coordination

  • Draft personalized LinkedIn connection notes, replies, and follow-up messages for the Founder to review and send from their own profile.
  • Where approved, network transparently using the coordinator’s own genuine professional identity and send authorized follow-up communications in compliance with documented consent requirements.
  • Qualify interested prospects against agreed criteria; arrange discovery calls, confirm attendance, and coordinate rescheduling.
  • Prepare concise pre-call briefs outlining business context, likely needs, prior contact, decision-makers, and suggested questions.

Growth Snapshot, Proposal and Referral Support

  • Research approved prospects and prepare draft Growth Snapshot materials using approved processes, templates, AI prompts, and evidence standards.
  • Verify business names, contacts, links, factual claims, and formatting before submitting documents for review.
  • Assemble proposal drafts using approved scopes, pricing, and templates; maintain follow-up tasks after approval and issue.
  • Request and track referrals at approved milestones and maintain accurate records of introductions and authorized rewards.

Reporting and Process Improvement

  • Provide concise weekly updates on activity, qualified opportunities, discovery calls, proposals, wins, blockers, and upcoming priorities.
  • Track which marketing and outreach activities generate useful conversations and paying clients, rather than activity volume alone.
  • Document repeatable processes, maintain checklists, and suggest improvements to quality, speed, and follow-up consistency.

Role Boundaries, Approvals and Data Security

  • Obtain required approval before publishing content, launching campaigns, issuing proposals, or making commercial commitments; the Founder retains strategy, pricing, solution design, discovery calls, closing, and sensitive relationship decisions.
  • Use individual approved accounts and authorized system permissions; never access or impersonate the Founder’s personal LinkedIn account.
  • Protect confidential and personal information, respect opt-outs and marketing consent, and follow applicable platform rules and approved outreach processes.

Qualifications

  • At least 2 years of relevant experience in marketing coordination, business development support, sales administration, digital marketing, or a comparable role.
  • Demonstrated experience researching businesses and decision-makers and turning research into useful prospect briefs or personalized outreach.

  • Experience preparing business-facing digital content, including social posts, email content, simple graphics, or short-form video.
  • Strong written and spoken English, including clear communication suited to Australian business audiences.
  • Excellent attention to detail, reliable task completion, sound judgment, and confidence working independently in a remote team.
  • Strong organization, commercial curiosity, quality control, and willingness to learn new tools and processes.

Preferred Qualifications

  • Experience with Zoho One applications, including Zoho CRM, Zoho Social, Campaigns, WorkDrive, Forms, Bookings, or Books.

  • Experience with Canva, video editing, social scheduling platforms, and AI-assisted research or content workflows.
  • Experience preparing proposals, reports, sales briefs, or marketing performance summaries.
  • Qualification in marketing, business, communications, or a related field, or equivalent practical experience.
