Role summary
The AI Procurement Specialist helps a fast-growing NeoCloud (a GPU-focused AI cloud provider) source and buy the compute, power, and data center capacity its business runs on. Procurement is the core of the role: you will use AI-driven tooling to run sourcing, negotiation, and purchasing for GPUs, servers, networking, and colocation space, working with Data Center Operations and Finance. As a secondary responsibility, you will support Accounting on invoicing, helping make sure supplier invoices are matched, coded, and resolved accurately and on time. The role reports to the Manager of Procurement.
Department: Procurement
Employment type: Full-time
Location: Remote
Key responsibilities
Primary: AI-enabled procurement and sourcing
- Source GPUs and accelerated servers (e.g., NVIDIA, AMD), high-speed networking, storage, and power and cooling equipment from OEMs, ODMs, and distributors.
- Negotiate pricing, volume commitments, delivery terms, warranties, and support SLAs with hardware and infrastructure vendors.
- Work with Procurement Management to automate workflows for requisitions, approval routing, and PO creation, including milestone-based and deposit payments on large hardware orders.
- Track allocation, lead times, and delivery schedules across suppliers, and flag slippage that could delay capacity going live.
- Monitor supplier performance, concentration, and risk, build second-source options, and keep vendor master data clean.
Secondary: invoicing support for Accounting
- Support Accounting on supplier invoicing: confirm that POs, receipts, and invoices match (three-way match) and resolve price, quantity, and tax variances with vendors.
- Work with Accounting to develop coding requisitions and POs with the correct GL account, cost center, and asset class (capex vs. opex) so invoices post correctly.
- Chase missing invoices, credit memos, and corrected invoices from vendors, and confirm deposits, prepayments, and milestone payments against PO terms.
- Give Accounting received-not-invoiced and open PO information for month-end accruals.
- Follow procurement controls (approval limits, segregation of duties, vendor onboarding checks) and provide documentation for audits.
Required qualifications
- 3+ years of experience in procurement, strategic sourcing, or supply chain, ideally in cloud, data center, semiconductor, or hardware-intensive businesses.
- Accounting background (degree, coursework, or experience) with working knowledge of invoicing, accounts payable, GL coding, and accruals.
- Hands-on experience with an ERP or procure-to-pay system (e.g., NetSuite, SAP, Oracle, Coupa).
- Strong negotiation and contract skills, with comfort working at high speed in a fast-scaling company.
- Advanced Excel or Google Sheets skills
Preferred qualifications
- Bachelor's degree in Business, Supply Chain, Accounting, Finance, or a related field.
- Experience at a NeoCloud, hyperscaler, colocation provider, or GPU hardware vendor.
- Experience with AP or invoice automation tools and exception-handling workflows.
- Understanding of the AI infrastructure stack (GPUs, servers, InfiniBand/Ethernet networking, power and cooling) well enough to read quotes and bills of materials.
Skills and competencies
- Negotiation and commercial acumen: balances price, quality, risk, and supplier relationships on multi-million-dollar hardware decisions.
- Supply chain awareness: anticipates allocation constraints, lead times, and delivery risk.
- Analytical judgment: validates AI outputs against source documents rather than trusting them blindly.
- Process thinking: spots repetitive manual steps and redesigns them with automation.
- Attention to detail: catches pricing discrepancies, coding errors, and duplicate or mismatched invoices.
- Collaboration: works smoothly with Accounting, Finance, and Data Center Operations, and follows up with vendors until issues close.
- Speed and adaptability: keeps controls intact while the company scales and priorities shift quickly.
- Integrity and discretion: handles confidential pricing, customer, and financial data responsibly.
Compensation and details
- Benefits: health, 401K retirement match, PTO, professional development and certification support.
- Work arrangement: Remote; travel 10%.
