Job Summary
We are looking for a detail-oriented Utility Operations Associate to support accurate and timely utility billing for property management clients. The role involves reviewing utility invoices, maintaining account information, validating billing data, investigating discrepancies, and coordinating with internal teams and utility providers.
The ideal candidate will have strong analytical skills, a high level of accuracy, and the ability to manage recurring deadlines while following established processes and data-handling requirements
Responsibilities
Review, and process invoices for utility services such as electricity, water, sewer, gas, and waste management.
Verify account numbers, property details, service addresses, billing periods, meter readings, usage, and charges.
Check invoices for missing information, duplicate entries, overlapping billing periods, and unusual charges.
Enter and update invoice information accurately in designated systems.
Track missing or delayed invoices and follow up to support timely processing.
Follow approved allocation methods and client-specific instructions where resident billing is part of the role.
Maintain accurate property, utility provider, account, and meter information.
Support the setup and updating of utility accounts in relevant systems.
Provide clear updates on pending invoices, unresolved discrepancies, and processing status.
Investigate invoice mismatches, missing bills, duplicate charges, incorrect account details, and other processing exceptions.
Follow standard operating procedures, quality guidelines, approval requirements, and service-level agreements.
Identify opportunities to reduce manual effort and improve accuracy.
