About the Role

We are seeking a highly organized, experienced, and proactive Senior Project Manager, Marketing Operations to coordinate operational workflows, recurring meetings, reporting, and cross-functional initiatives within a fast-paced marketing organization.

This role serves as the operational backbone of a marketing team supporting customer acquisition across multiple business segments. You will ensure that meetings, action items, deadlines, and parallel workstreams remain organized and move forward efficiently.

The ideal candidate brings at least 7 years of project management experience, preferably in marketing operations, and can contribute immediately with minimal supervision.

Exceptional communication skills are essential. You must be able to communicate clearly, document decisions accurately, and provide structured updates that eliminate ambiguity and keep stakeholders aligned.

This is an operational project management position, not a marketing campaign strategy or execution role.

Why This Opportunity?

  • Work remotely with cross-functional marketing and operations teams.

  • Take ownership of high-visibility projects, meetings, and operational processes.

  • Collaborate closely with senior leadership and regional stakeholders.

  • Help improve workflows, accountability, and operational efficiency.

  • Apply your project management expertise in a dynamic, results-driven environment.

What You'll Do

Project Management & Meeting Coordination
  • Coordinate recurring meetings, including leadership revenue reviews, cross-functional alignment sessions, and weekly status updates.

  • Prepare agendas, organize materials, and document key decisions, responsibilities, and deadlines.

  • Track action items and ensure consistent follow-through until completion.

  • Maintain project timelines, trackers, and status reports.

  • Communicate project updates, risks, dependencies, and outstanding priorities clearly.

Marketing Operations & Cross-Functional Coordination
  • Coordinate multiple parallel workstreams supporting customer acquisition initiatives.

  • Consolidate updates from regional marketing teams and maintain visibility into ongoing activities.

  • Identify duplicated efforts, delays, dependencies, and operational bottlenecks.

  • Track campaign progress at an operational level without directly managing campaign execution.

  • Facilitate communication between marketing, sales, and other stakeholders.

Process Improvement & Operational Support
  • Identify gaps in workflows, reporting, and internal coordination.

  • Support problem-solving when marketing or sales handoff processes encounter issues.

  • Develop practical solutions to improve efficiency, accountability, and collaboration.

  • Maintain organized documentation and project tracking systems.

  • Leverage collaboration and project management tools to streamline daily operations.

Qualifications

Required Qualifications
  • Minimum 7 years of professional project management experience, preferably supporting marketing operations, sales operations, or cross-functional business teams.

  • Proven ability to independently manage complex projects, recurring meetings, and multiple simultaneous workstreams.

  • Exceptional written and verbal communication skills, with the ability to provide clear, concise, and actionable updates.

  • Strong experience preparing meeting agendas, documenting decisions, and tracking action items through completion.

  • Proficiency with Google Workspace (Google Suite), Slack, and project management or collaboration tools.

  • Ability to quickly learn and effectively use tools such as Claude, Smartsheet, and other operational platforms.

  • Excellent organization, attention to detail, time management, and problem-solving skills.

  • Strong stakeholder management and cross-functional coordination capabilities.

  • Ability to work independently and contribute immediately in a fast-paced remote environment.

  • Advanced professional English proficiency.

  • Availability to work 40 hours per week, preferably aligned with U.S. Central Time business hours.

Preferred Qualifications
  • Previous experience in marketing operations or sales operations.

  • Hands-on experience with Quickbase, considered a significant advantage.

  • Experience using Smartsheet for project tracking, reporting, or workflow management.

  • Practical experience using Claude or similar AI tools to improve productivity and operational efficiency.

  • Experience supporting regional or distributed marketing teams.

  • Familiarity with customer acquisition workflows and marketing reporting processes.

  • Experience working with senior leadership and managing high-visibility operational initiatives.

How Success Is Measured

  • Recurring meetings are well-organized, documented, and followed through consistently.

  • Project timelines, deliverables, and action items are tracked accurately.

  • Stakeholders receive clear, timely, and unambiguous communication.

  • Multiple workstreams remain coordinated without missed deadlines or duplicated efforts.

  • Operational bottlenecks are identified and resolved proactively.

  • Leadership receives reliable visibility into project progress and outstanding priorities.

  • Processes become more organized, efficient, and scalable.

Why Join Us?

  • $2,167–$2,667 USD/month compensation.

  • Fully remote opportunity from Colombia, Mexico, or Chile.

  • Full-time schedule of 40 hours per week.

  • Direct collaboration with cross-functional teams and senior stakeholders.

  • Opportunity to improve operational processes and project management systems.

  • Meaningful responsibility and autonomy in a fast-paced environment.

Important Notes

This is a senior operational project management role, not a campaign strategy, media buying, or hands-on marketing execution position.

A minimum of 7 years of project management experience is required. Candidates should be able to contribute immediately without extensive training.

Clear, precise, and proactive communication is non-negotiable. Poor, vague, or inconsistent communication is a disqualifying factor.

Quickbase experience is a major advantage, while familiarity with Google Workspace, Slack, Claude, and Smartsheet is highly valuable.

Hands-on CRM administration, marketing automation, and campaign strategy experience are not required.

This is a remote/telecommute position.
