Position: Administrative Assistant, Floater

Team: Tax Services

Reporting to: Tax Assistants, Tax Partners

Status: This posting is for an existing vacancy

Position Type: Full-time, Permanent                                                                                                                 

Work Location:  Remote

Start date: October 2026

Compensation: $60,000 - $70,000

We are looking for a motivated, self-starter to join our Taxation team.  The Administrative Assistant, Floater plays an integral role in providing a broad range of administrative support to the Administrative Assistants, and Tax team. The ideal candidate will thrive in a fast-paced environment and have a strong attention to detail.

Principal Duties and Responsibilities:

  • Providing administrative support to administrative team and tax group;
  • Creating Caseware files for new clients, roll forwards, drafting engagement letters and enclosure letters;
  • Print / assemble tax packages and process e-returns;
  • Preparing T4, T5, and NIL returns;
  • Quality review (accuracy, completeness, appearance) of outgoing correspondence;
  • Prepare and submit forms to the Canada Revenue Agency;
  • Ability to prepare and follow up with work in progress and full cycle of invoicing;
  • Ensure complete confidentiality when dealing with sensitive documents and issues;
  • Maintenance of databases (Dynamics365, Caseware, Mavenlink etc.);
  • Setting up, transmitting, and obtaining information from the client portal and filing accordingly;
  • Perform mail-merge, work with Word and PowerPoint templates;
  • Organize and coordinate internal & external meetings, etc.;
  • Liaise with internal departments in a professional manner;
  • Other administrative duties as assigned.

Qualifications:

  • Excellent verbal and written communication skills;
  • Highly effective organizational skills and detail-oriented;
  • Self-motivated with strong prioritizing and follow-up skills;
  • Ability to cope in a deadline-driven environment;
  • Proven editing and proof-reading skills;
  • Ability to work independently and as part of a team
  • Available to work moderate overtime.

Education and/or Experience:

  • University Degree or College Diploma an asset
  • Minimum 2 years of administrative experience in a professional environment preferred
  • Must be able to work with numbers
  • Ability to understand basic accounting
  • Experience at an accounting firm an asset

Computer Skills:

  • Knowledge in Caseware/ Caseview would be an asset
  • Microsoft Office Applications - Word, Excel, PowerPoint, SharePoint, Access & Outlook
