Job description

Overview:

The Manufacturers Association of Central New York (MACNY) seeks a Program Contract Manager who will manage the process of the administration of contracts, ensuring effective operational compliance, budget adherence, and successful contract project delivery for statewide partners. This role requires both strategic planning and operational execution, with close collaboration across departments to maximize grant deliverables.

Responsibilities:

Supervisory Responsibilities:

  • This position has no direct supervisory responsibilities.

Duties/Responsibilities:

  • Assemble internal budget workbooks as needed, familiar with cost estimates, and justifications for proposals.
  • Ensure all award documents meet compliance and policy standards.
  • Oversee all administrative and financial aspects of awarded grants, including support contract performance tracking and compliance monitoring.
  • Prepare, take ownership and manage contract documents such as subcontracts, consultant agreements, and amendments.
  • Coordinate with program, finance, and legal teams to ensure grant terms and organizational policies are met.
  • Analyze, resolve, and execute winning solutions collaborating with applicable parties or resources for program contract issues or discrepancies.
  • Maintain accurate records and catalogs of all grant-related documents, including financial details and compliance reports.
  • Understand grant project progress, deliverables, and milestones in line with contract expectations.
  • Manage contract discrepancies promptly with effective resolution.
  • Ensure adherence to all grant agreements, MOUs, and regulatory requirements maintaining full compliance.
  • Maintain professional relationships with grantmaking organizations and stakeholders.
  • Provide training and guidance to staff on grant and contract management processes.
  • Drive continuous improvement initiatives to increase efficiency, reduce cycle times, and enhance service delivery.

Required Skills/Abilities:

  • Proven experience in nonprofit grant management and contract administration.
  • Strong knowledge of grant writing, budgeting, and financial reporting.
  • Ability to manage multiple projects and meet deadlines.
  • Excellent organizational, communication, and analytical skills.
  • Solid understanding of compliance requirements for federal, state, and private funders.
  • Ability to quickly learn projects and seeks clarification on project activities as needed.
  • Proficient with Microsoft Office Suite and related software such as Adobe.
  • Strong relationship building skills working with internal and external partners.
  • Contract experience with working with legal entities.

Education and Experience:

  • Bachelor’s degree in business, public administration, or accounting with 3 plus years working in a non-for-profit setting.
  • Experience in Grant management and working with legal contract resolutions.
  • Experience managing contracts using effective tracking software to accurately share data as needed.

Physical Requirements:

  • Working conditions are typical for an office environment.
  • Prolonged periods of sitting and working on a computer.
  • Office hours Monday – Friday, 8:30am – 5:00pm and have flexibility in availability to support occasional activities outside of regular business hours.
  • Must be able to successfully pass a background check.
  • Valid driver’s license
