Job description

Event Planner - Strategic Events

A|T Collective is seeking a highly organized, detail-oriented Event Planner to manage total event planning, coordination and execution for a premier multi-day education and partner engagement event, as well as additional large-scale advisor recognition, brand, training, partner and internal events as assigned. This role will serve as a central planning resource, working closely with internal stakeholders, training leadership, destination partners, hotel partners and event vendors to deliver polished, high-impact event experiences across A|T Collective brands. 


Key Responsibilities 

  • Coordinate overall planning and project execution for assigned events, including timelines, budgets, planning documents, stakeholder updates, event flow, agenda development and onsite execution. 
  • Partner with leadership to support training and education-focused event programs, ensuring all logistics are thoughtfully planned and executed, including room setups, schedules, materials, event platforms and onsite needs. 
  • Coordinate venue sourcing, hotel room blocks, meeting space requirements, food and beverage, audio visual, signage, décor, transportation, staffing and event materials. 
  • Manage partner and sponsor logistics, including registration, booth needs, brand assets, presentation timing, meal sponsorships and onsite expectations. 
  • Support attendee registration, communications, rooming lists, dietary needs, travel details, name badges, event app content and other participant-facing materials. 
  • Maintain detailed project plans, production schedules, contact lists, vendor records and budget tracking for all assigned events. 
  • Coordinate with internal teams including Sales, Marketing, Training, Product, and leadership to ensure all event elements are aligned and executed on time. 
  • Travel as needed for site inspections, pre-event planning meetings, onsite setup, event management and post-event wrap-up. 
  • Anticipate needs, identify risks, solve issues quickly and ensure every event reflects the quality, service and professionalism of the A|T Collective brands.

  • Exercise independent judgement on event budgets, vendor and venue selection, contract terms and onsite decisions, with limited day-to-day supervision. 

Qualifications 

  • Prior experience planning corporate meetings, incentive programs, conferences, training events, travel industry events or large-scale customer/partner programs. 
  • Strong project management skills with the ability to manage multiple timelines, vendors, stakeholders and moving parts simultaneously. 
  • Exceptional attention to detail and follow-through, with the ability to track information accurately and keep projects moving forward. 
  • Excellent written and verbal communication skills, including the ability to prepare clear updates, recaps, agendas and event documents. 
  • Experience working with hotels, destination partners, vendors, convention services, audio visual teams and event production resources. 
  • Comfortable working under deadlines and adapting quickly when priorities, details or onsite needs change. 
  • Proficiency with Microsoft Office, especially Word, Excel, PowerPoint and Outlook; experience with event platforms or registration tools preferred. 
  • Travel industry, hospitality, supplier relations or advisor-facing event experience preferred. 
  • Must be based in or near Southern California, with the ability to travel as needed.

They should be comfortable working behind the scenes, troubleshooting in real time and representing any A|T Collective brand with professionalism onsite.

Compensation range for the position will be $65,000.00 - $75,000.00 annually.
