US Contractor Care & Administrator

US Contractor Care Administrative Assistant

Location: Remote – South Africa

Working Hours: US-aligned hours

Working Calendar: Aligned to the US team and business requirements

About the Role

We are looking for an organised, proactive, and highly detail-oriented US Contractor Care Administrative Assistant to support our US contractor workforce. This role plays an important part in ensuring contractors have a smooth experience from onboarding through to the completion of their assignments. You will support contractor onboarding, documentation and compliance administration, timesheets, background screening and general contractor queries while maintaining accurate information across internal systems. Working remotely from South Africa, you will work US-aligned hours and collaborate closely with the US Contractor Care team, recruitment consultants, internal operations teams and contractors.

Key Responsibilities

● Coordinate the administrative onboarding process for new US contractors.
● Collect, review and maintain required contractor documentation.
● Ensure contractor records are complete, accurate and kept up to date across internal systems.
● Upload and maintain contractor documentation within the relevant CRM/ATS and internal platforms.
● Support contractor compliance processes in accordance with internal procedures and applicable US requirements.
● Coordinate and monitor background screening and pre-employment checks where required.
● Identify missing, incomplete or expired contractor documentation and proactively follow up.
● Prepare and issue contractor onboarding documentation and relevant communications.
● Maintain accurate contractor records throughout the full contractor lifecycle.
● Manage timesheet uploads and administration.
● Run timesheet reports and follow up with contractors regarding missing or outstanding timesheets.
● Respond to contractor queries promptly and professionally, escalating more complex matters to the appropriate team member.
● Support contractors with general administrative and system-related queries.
● Work closely with the US Contractor Care and recruitment teams to ensure new starters are fully prepared ahead of their start dates.
● Support contractor extensions, assignment updates and offboarding administration.
● Maintain clear records of contractor communications and outstanding actions.
● Assist with general Contractor Care administration and reporting as required.

Contractor Care

A major part of this role is ensuring contractors receive a responsive, professional and positive experience throughout their assignment. You will act as a key point of contact for day-to-day administrative queries and will be expected to build strong relationships with contractors while ensuring internal processes are followed accurately. This includes proactively following up rather than waiting for issues to arise and ensuring contractors know who to contact when they need support.

About You

We are looking for someone who:

● Has strong administrative and organisational skills.
● Has excellent attention to detail and takes pride in accuracy.
● Is comfortable working with documentation, systems and process-driven tasks.
● Has strong written and verbal communication skills.
● Is confident communicating with contractors and internal stakeholders.
● Can manage multiple priorities and deadlines effectively.
● Is proactive and comfortable following up with people when information or documentation is outstanding.
● Can work independently in a remote environment.
● Is comfortable working US-aligned hours from South Africa.
● Has a positive attitude and is open to feedback, coaching and development.
● Works well within a fast-paced recruitment or staffing environment.

Desirable Experience

Previous experience within contractor care, recruitment administration, staffing, recruitment operations, compliance, onboarding or payroll/timesheet administration would be highly beneficial. Experience supporting contractors or employees within the US staffing/recruitment market would be particularly advantageous, although we would consider candidates with strong transferable contractor-care or recruitment administration experience.

What We’re Looking For

Ultimately, we are looking for someone who combines excellent administration with genuine contractor care. You should be someone the recruitment and sales teams enjoy working with, who takes ownership of tasks, is hungry for feedback and development, and is comfortable being challenged in a busy, performance-driven environment. This keeps the cultural element from the original specification while making it more appropriate for a US Contractor Care position.
