Job Description Summary

The Benefits Coordinator is responsible for administering the College's leave, absence, accommodation, and related employee support programs in accordance with applicable laws, policies, and procedures. This position coordinates communications, documentation, compliance activities, and operational processes related to leaves of absence, Family and Medical Leave Act (FMLA), disability, paid sick leave, accommodations, and workers' compensation. The Benefits Coordinator also provides support for employee and retiree benefit administration and related benefits operations.

30 hours per week.

Job Description

Essential Functions and Responsibilities

The following duties are primarily performed and are essential for this position.  Employees are expected to be able to perform each of these job duties satisfactorily to be qualified for the position.  Other duties may be required and assigned.

Leave, Absence, Workers’ Compensation, and Accommodation Administration

  • Administer leave, absence, and paid sick leave programs, including FMLA, disability, and college-specific leaves; provide guidance on applicable policies and procedures, coordinate required communications and documentation, maintain accurate records, monitor leave activity, and support compliance with applicable laws, policies, and procedures.
  • Coordinate the administrative aspects of the employee accommodation process by collecting and reviewing documentation, maintaining records, tracking accommodation requests, coordinating communications, and supporting the interactive process.
  • Coordinate workers' compensation, leave, and absence-related activities to support accurate administration and integration across related programs and processes.
  • Coordinate and communicate leave, time off, and employment-related changes requiring payroll, benefits, or Human Resources action to ensure accurate administration and documentation.

Compliance, Monitoring, and Operational Administration

  • Ensure time off, leave, and accommodation-related programs and processes are administered in accordance with applicable federal and state laws, college policies, and administrative procedures; monitor leave and absence activity to identify compliance requirements, employee support needs, and situations requiring follow-up.
  • Assist with administration, testing, and maintenance of Absence plans and Leave processes in Workday.
  • Maintain and improve leave, accommodation, and related benefits administration processes and documentation to support operational consistency, continuity of services, knowledge transfer, and cross-training within the Benefits function.

Employee Communication and Education

  • Develop and deliver employee communications, guides, training, and educational resources related to time off, leave, accommodations, and benefits programs to promote employee understanding and effective utilization of available programs and resources.

Benefits Administration Support

  • Support administration of employee and retiree benefit programs, including enrollments, life event changes, employee and retiree support, Open Enrollment activities, and related benefits administration processes.
  • Support benefits administration through coordination with vendors, Payroll, Human Resources, and other internal and external partners.
  • Support benefit billing, retiree administration, reporting, and related recordkeeping activities to maintain accurate and timely benefits administration.

Non-Essential Functions and Responsibilities

  • Support administration of the Campus Care Clinic.
  • Support employee wellbeing initiatives.
  • Participate in special projects and other duties as assigned.
  • Perform projects and other related duties as assigned.

Minimum Qualifications

Education and/or Experience Requirements:

  • Associate degree in Human Resources, Business, or related field.
  • Two to three years of experience administering or coordinating leave, disability, accommodations, workers' compensation, time off, employee benefits, or related human resources programs.

Licenses, Certifications, and Other Requirements:

  • Proficiency with Microsoft Office applications, including Word and Excel
  • Experience working with HR Information System (preferably Workday)

Work Environment

  • Work will primarily be completed on campus with some remote work available at times.

Work environment may change based upon college needs.

Physical Requirements

  • Sitting: Ability to remain in a stationary position for extended periods while working at a computer, attending meetings, and performing administrative duties.
  • Mobility: Ability to move throughout campus locations to attend meetings, employee events, benefit fairs, trainings, and other work-related activities.
  • Fine Motor Skills: Ability to use computers, telephones, calculators, and other office equipment requiring manual dexterity and hand-eye coordination.
  • Repetitive Motions: Ability to perform repetitive motions such as typing, data entry, and use of office equipment.
  • Communication: Ability to communicate effectively with employees, retirees, vendors, and other stakeholders in person, virtually, by telephone, and through written communication.
  • Visual Requirements: Ability to review, analyze, and prepare detailed documents, spreadsheets, reports, contracts, invoices, and electronic records.
  • Lifting and Carrying: Ability to occasionally lift, carry, and transport materials related to meetings, employee education sessions, events, or office operations, generally up to 15 pounds.
  • Travel: Occasional local travel may be required for meetings, professional development activities,, or other work-related functions.

Additional Information

Starting Range: $24.53 - $28.86 per hour. 
Pay is based on a multitude of factors, including experience, qualifications, education, relevant certifications, internal equity, and market data.  
Note: Internal applicants' wage will be based upon the applicable compensation guidelines.
