About the Role

We are seeking a full-time, long-term HubSpot Administrator & Sales Operations Specialist to serve as the primary platform owner. This is not a project-based role, but rather an ongoing internal position focused on sales and marketing operations. The ideal candidate offers a hybrid skill set combining expert HubSpot administration with strong business analysis capabilities to support deeper reporting and insights. During the interview process, candidates will be asked to present concrete examples of past work, case studies, or a redacted portfolio to showcase their platform expertise and documentation skills.

Responsibilities

  • Serve as the primary administrator and subject matter expert for HubSpot.

  • Maintain CRM data integrity across contact, company, lead, and deal records.

  • Configure, maintain, and optimize lifecycle stages, lead routing, sales stages, workflows, sequences, and automation.

  • Create and maintain detailed dashboards, reports, KPIs, and data views that support sales and marketing decisions.

  • Partner with marketing, business development, market leadership, and operations teams to improve processes and drive user adoption.

  • Support lead scoring, segmentation, campaign tracking, pipeline management, and related sales and marketing initiatives.

  • Train and support users while developing practical documentation, SOPs, and operating standards.

  • Troubleshoot platform and reporting issues, test changes, and identify opportunities for continuous improvement.

  • Assist with sales operations processes and reporting, including lead, deal, pipeline, referral, and win/loss reporting.

Competencies and Qualifications

Must-Have

  • 4+ years of dedicated, hands-on experience administering HubSpot as a primary platform owner, with a background supporting sales operations, marketing operations, CRM management, or data reporting.

  • Strong working knowledge of HubSpot configuration, properties, contacts, segments, lists, imports, exports, deduplication, workflows, sequences, automation, and reporting across Sales, Marketing, and Content Hubs.

  • Proven experience configuring lifecycle stages, sales stages, lead statuses, routing, notifications, and lead/Fit scoring.

  • Demonstrated success building and maintaining dashboards, reports, and performance metrics for sales and marketing stakeholders.

  • Strong Excel skills for data analysis, including formulas, lookups, pivot tables, and data preparation.

  • Proven ability to translate business requirements into practical system/process solutions, backed by strong analytical, troubleshooting, and project management skills.

  • A sales and marketing mindset with strong stakeholder-service skills and a highly collaborative approach to supporting both teams.

  • Ability to document complex processes clearly, create user guides and SOPs, and provide work samples, case studies, or a redacted portfolio

Nice-to-Have

  • Official HubSpot certifications.

  • Hands-on experience with HubSpot's Data and Service Hubs.

  • Experience integrating HubSpot with other business systems.

  • Conceptual understanding of developer-level tools (e.g., custom API coding or webhooks) to collaborate effectively with technical teams (coding not required).
